Virtual Assistant - Real Estate Operations & Marketing Support (Remote, Full-Time)
Are you an organized, tech-savvy, and detail-oriented virtual assistant with experience in real estate operations and marketing? Join our dynamic real estate team and help streamline our processes, manage marketing initiatives, and ensure smooth day-to-day operations.

About Us
We are a top-performing real estate team specializing in the WA state market, dedicated to delivering exceptional service to buyers and sellers. We are looking for a full-time Virtual Assistant to support our operations, marketing, and client coordination.
Responsibilities

Listing & Open House Coordination
Ensure all listing marketing is executed properly, including social media, flyers, and online exposure
Schedule and coordinate open houses with brokers
Add open house details to MLS and team calendar and send all pertinent info to the broker prior to the open house to ensure opens are a lead generation tool

Client Engagement & Gifting
Manage client gifting programs (new homeowner gifts, anniversary gifts, and client appreciation)
Create and schedule our clients one month and one year anniversary posts
Send and track new homeowner sheets which include the listing information to clients and then share with the new homeowner or their broker
Maintain client preferences in CRM (Sierra) for personalized follow-ups
Set up follow up programs accurately in our CRM

CRM & Database Management
Update and maintain Sierra CRM with buyer and seller data so it is accurate for marketing purposes
Track closing disclosures (CDs) and payments in CTE to track the teams performance
Organize client communication and reminders in our Google workspace calendar

Marketing & Social Media

Email
newsletters – create, manage, and send attractive and relevant newsletters to our local database
Oversee PPC campaigns (Asterisk PPC & Meta remarketing)
Coordinate our farming postcards and marketing mailers, we have templates in Canva and these will need to be updated monthly with data from the MLS
Assist in event planning and execution for client/community events when needed
Create and manage non-listing social media content (FB, IG, Google, Youtube)
Create relevant blog posts & website updates for SEO optimization, add to the websites
Monitor Google Analytics and assist with improving website traffic

Operations & Administrative Support
Assist with tracking our budgeting and reporting payroll to our bookkeeper
Manage and update the operations manual

Ideal Candidate
? Experience in real estate or marketing/operations for a real estate team/office or busy real estate professional
? Tech-savvy – comfortable with CRM systems preferably Sierra Interactive, CTE, Canva, Google Workspace, Wordpress, MailChimp, MLS, Meta and social media management
? Highly organized – able to track multiple tasks, deadlines, and client touchpoints
? Proactive & problem-solver – doesn’t wait for instructions, finds solutions independently but knows when to ask for help.
?Humility- takes direction and is able to be coachable when necessary
? Strong communicator – written and verbal, with attention to detail
? Available during U.S. business hours
