JOB OVERVIEW

We are seeking a detail-oriented, highly organized Virtual Assistant to support our executive search and recruiting firm specializing in construction, real estate development, and associated industries.

The ideal candidate will assist with administrative & research tasks, client communications and email marketing.

This role requires excellent communication skills, proficiency in oBice software, and the ability to manage multiple tasks effectively in a remote setting.

Primary Responsibilities:
1. Administrative & Research (Major Function of the Position):
-Research client & candidate prospects using Zoominfo, Company Websites and LinkedIn, save data into our CRM and add/organize into roll up lists/marketing lists used for client & candidate prospecting and email campaigns.

-Send individual and bulk emails to the prospects as they are identified and added to our CRM and then in bulk format as the prospect list grows on a pre-determined schedule (monthly or quarterly). The emails will be written for them and saved into our CRM so they can access them and send them.

2. CRM and Database Management:
-Update and maintain the recruiting firm's CRM with current candidate andclient data.
-Merge duplicate records as they surface to protect the integrity of the data.
-When emails are sent, bounce backs occur, update the CRM by deleting bad or inaccurate or old email addresses with new accurate information.
-Re- evaluate if the prospect is the right quality or not and delete from CRM if not update if they do meet our high quality criteria.
- Utilize Zoominfo and LinkedIn to source potential clients and candidates and cross reference and update records as needed.

Specific example of the work:
- Use Zoominfo to find Construction companies with 50+ employees
- ENR Top 400 Contractors List (example attached)
- ENR Top 600 Specialty Contractors List
- Business Journals Top Lists of General Contractors
-San Francisco, Seattle, Los Angeles, Orange County, San Diego, Denver, Phoenix, Dallas, Austin, Houston, San Antonio, Chicago, Kansas City, St.Louis, Detroit, Nashville

1. Identify Senior Leadership team contacts (CEO, President, VP, Director, HR), add to our CRM (PC Recruiter), add to appropriate roll up list, send initial marketing email – repeat.

Additional Responsibilities:
• Help source candidates for specific positions as they arise
• Posting jobs on job boards – LinkedIn and Indeed
• Send Google and LinkedIn Review requests to clients or candidates after sale
• As new lists are secured or acquired, add information into CRM/PC Recruiter
• Send bulk emails as needed or on a predefined schedule

Qualifications:
• Proven experience as a virtual assistant or similar administrative role, preferably in recruitment, HR, or executive search.
• Strong organizational skills with the ability to manage multiple tasks and priorities effectively.
• Excellent written and verbal communication skills.
• Proficiency with Microsoft OBice (Word, Excel, PowerPoint), Google Suite, and CRM systems (e.g., Bullhorn, Salesforce or PC Recruiter/PCR).
• Experience with LinkedIn, job boards, and recruiting databases is preferred.
• Attention to detail and high standards for quality in all work performed.
• Ability to work independently in a remote environment and communicate effectively with team members across diBerent time zones.
• Lead database clean-up projects to ensure all client & candidate data is accurate and fully detailed.
