Overview:
We are a growing performance marketing agency looking for a Sales Support Specialist to handle post-call tasks, CRM maintenance, and administrative follow-ups. You will play a critical role in streamlining our sales process and ensuring leads move through the pipeline effectively.
Key Responsibilities:
Post-Call Administration
Send contracts and proposals via DocuSign
Update client records and next steps in HubSpot
Follow up with prospects regarding outstanding documents or questions
CRM & Workflow Management
Build, enrich, and maintain workflows in HubSpot
Monitor signals and triggers for lead reactivation
Track deal stages and ensure data accuracy across the funnel
Sales Coordination
Schedule follow-up appointments between clients and sales reps
Communicate key updates or feedback from clients to internal teams
Maintain organized records of conversations and next steps
Documentation & Reporting
Prepare status updates on leads, contracts, and pipeline progress
Create and share simple reports on funnel health for internal stakeholders
Keep a record of contract changes and versioning for audit purposes
Requirements:
Relevant Experience: 1-2 years supporting sales in a business services, tech, or agency environment
CRM Proficiency: Strong familiarity with HubSpot (including creating and managing workflows)
Contract Management: Experience using DocuSign or similar e-sign platforms
Communication: Excellent written English skills and ability to handle client follow-ups promptly
Detail-Oriented: Capable of accurately updating records and tracking lead stages
Tech-Savvy: Comfortable working with various online tools and remote collaboration platforms
