About Us:
We are a busy real estate law practice and investment firm seeking a highly organized, proactive, and resourceful Virtual Assistant / Office Manager. This full-time role (40 hours per week) is ideal for someone with a solid understanding of real estate legal work and investment processes, exceptional organizational skills, attention to detail and the ability to manage multiple priorities in a dynamic, fast-paced environment.

Responsibilities
1. Legal Billing
o Manage and process billing through Clio, ensuring accuracy and timeliness.
2. Document Management
o Edit and format legal and investment documents using Microsoft Word and Excel.
o Accurately incorporate edits from hand-marked images into Word documents with close attention to detail.
o Redline documents and compare versions using WorkShare Compare to ensure accuracy and consistency.
3. Property Research
o Conduct in-depth research on real estate properties, including gathering data on comparable sales and apartment rental rates.
o Provide detailed analyses and reports of findings.
4. Scheduling
o Manage calendars, schedule appointments, and coordinate meetings with clients, investors, and brokers.
5. Marketing / Websites / CRM
o Scheduling podcast interviews and preparing and working on websites and CRM (Active Campaign).
6. Budget & Expense Tracking
o Monitor and maintain budgets and track expenses for legal and investment projects.
7. Monthly Expense & Revenue Tracking
o Prepare monthly reports detailing both expenses and revenue for the practice and investment projects.
8. Personal Assistance
o Assist with personal tasks such as vacation planning, scheduling appointments, and managing miscellaneous personal matters.
9. File Organization
o Organize and maintain digital files for seamless access and reference.
10. Client & Investor Communication
o Act as a point of contact, respond to inquiries, and professionally communicate with investors, clients, and brokers, ensuring timely follow-ups.

Requirements
• Proven experience as a virtual assistant, office manager, or similar role, ideally within real estate law or investment.
• Proficiency in Clio, Microsoft Word, Excel, Outlook, Office 365, and WorkShare Compare for redlining documents.
• Ability to manage multiple
• Exceptional attention to detail, particularly in accurately implementing marked-up changes to documents.
• Excellent organizational and multitasking skills, with the ability to work independently as a self-starter.
• Strong written and verbal communication skills.
• Working knowledge of real estate legal terminology, processes, and investment concepts.
• Ability to research, analyze, and present findings effectively, including comparable real estate sales and apartment rents.
• High attention to detail and strong problem-solving abilities.
• A professional demeanor and comfort working remotely.
