JOB OVERVIEW

Position Summary:
We are seeking a highly skilled, intuitive, and efficient Remote Administrative Assistant to support a dynamic and fast-paced law firm. The ideal candidate will act as the right-hand person to the firm's leadership, assisting with a variety of administrative tasks, time tracking, invoicing, client communication, social media content, and operational improvements. The role requires excellent organizational skills, strong attention to detail, and the ability to absorb and understand the firm's unique needs and ethos.

Key Responsibilities
Invoicing and Time Tracking:
Manage and streamline invoicing processes, ensuring timely and accurate billing.
Implement and manage a semi-automated billing system tailored to flat-rate services.
Track and record client agreements, contracts, and any applicable discounts.

Client Communication:
Monitor and manage client emails, ensuring no important communication is missed.
Respond promptly to client approvals and inquiries.
Provide updates and feedback to clients as needed.

Social Media and Publicity Support:
Develop and post engaging social media content, including creative ideas (e.g., entertainment news campaigns).
Ensure content aligns with firm branding and adheres to industry-specific language and terminology.
Establish and maintain relationships with media outlets to secure quotes, articles, and backlinks for the firm.

Operational Efficiency:
Analyze and improve internal workflows and processes to increase efficiency.
Utilize AI tools to assist with drafting, reviewing, and managing legal contracts.
Integrate project management systems for streamlined task execution.

Creative and Strategic Support:
Generate and implement innovative ideas to enhance client engagement and brand visibility.
Collaborate with leadership to align with the firm's vision and standards.
Proactively identify and address challenges, providing intuitive solutions.

Team Collaboration:
Coordinate with associates and other team members to ensure seamless workflow.
Build strong trust-based relationships with the leadership and other stakeholders.

Qualifications:
Proven experience in a similar administrative or virtual assistant role, preferably within the legal or professional services industry.
Exceptional organizational and multitasking abilities.
Strong English communication skills, both written and verbal.
Proficiency in QuickBooks or similar accounting software.
Familiarity with AI tools, project management systems, and social media platforms.
Intuitive and creative problem-solving skills.
High attention to detail, particularly with language and terminology.

Preferred Skills:
Background in working with law firms or legal professionals.
Experience with automated invoicing and project management systems.
Familiarity with creating and executing effective publicity strategies.
Knowledge of AI tools for document management and analysis.
