Recurring Tasks to Perform Daily:
Create Projects for Projects Team via Zoho Projects.
Scheduling Meetings and Coordinate Calendars for Project Tea
Prepare meeting agenda’s
Manage Project related
Send out Scheduling Snippets to all open and scheduled projects.
Call customers 1 week prior and day prior to notify of an upcoming project and capture questions.
This will also be to contact customers to capture surveys for completed projects.
Maintain and Update Project Documentation and files.
Assisting with project status reports and updates.
Assist with Coordinating Travel Arrangements (Occasionally)
Assist with Tracking project specific inventory for onsite execution
Validate shipments for projects are on schedule
Update all Internal Deal’s via our System (Zoho)
This will include descriptive notes and updating installation dates.
Project Task Management
Manage tasks via Zoho Projects
This will be assisting the PM to ensure ALL tasks are completed.
Inform PM when Project Tasks are completed and ready to review.
Monitor Internal Chats and keep PMs informed.
Assist with submitted internal expense reports for assigned projects.
Provide Technical Help to 3rd Party Technicians that require assistance (Guidance Provided)
Possible “non-routine” asks:
Technical Support/Troubleshooting
Onboarding PCs (Will train)
Calling third party software support (with direction from PM)
Executing on SOPs
What does a successful day look like for them?
check in and run through expected tasks for their shift, complete specific tasks as outlined in a daily routine, complete any additional possible tasks, complete any tickets for basic technical support and send
Metrics to drive success:
Metric 1: # of Projects not tentatively scheduled
Metric 2: # of Projects not created
Metric 3: # of Projects completed w/o survey
Metric 4: # of Projects w/o updated Ops Notes.
