Are you an organized, detail-oriented, and compassionate individual with experience in medical billing, insurance, and client coordination? If so, we’d love to have you join our client’s speech and occupational therapy practice based in Massachusetts! Our client is a small, women-owned practice dedicated to providing personalized, evidence-based therapy services for individuals of all ages, and they are seeking a full-time Medical Virtual Assistant to support their team and help continue delivering the highest level of care.

As the Medical Virtual Assistant, you will play a key role in supporting the administrative and billing functions of our client’s practice. You will help maintain accurate patient records, process and follow up on claims, and ensure the smooth operation of their billing and client onboarding processes. Your work will directly contribute to the success of our client’s practice, allowing
them to continue providing exceptional care to patients.

Responsibilities:

Billing & Insurance Support:
Primary responsibility for billing, including processing claims, obtaining pre-authorizations, and tracking the status of pending insurance claims.
Follow up on claim denials, apply ERA payments, and resolve billing discrepancies.
Generate billing reports and assist in reconciling insurance payments and balances.
Verify patient insurance coverage and explain benefits to patients.
Liaise with insurance providers to clarify coverage details and ensure timely resolution of any issues.

Client Onboarding & Coordination:
Cross-train with the front desk to assist with new client onboarding.
Send plan of care documents to physicians for signatures and track them.
Keep patient charts in WebPT up to date, including tracking active and discharged statuses.
Ensure patient privacy and confidentiality at all times.

Administrative & Patient Communication:
Handle patient inquiries via phone and email, providing excellent customer service.
Send personalized communications to patients regarding appointment reminders, insurance updates, and billing matters.
Maintain accurate and organized patient records, ensuring timely updates and information.
Assist in managing the email inbox and scheduling, potentially performing scribe duties.

Additional Responsibilities:
Process and submit claims to insurance companies.
Track and follow up on unpaid claims and overdue balances.
Generate and run reports related to claims, authorizations, missed notes, attendance, and balance aging.
Work on school contract billing and explore opportunities for new leads.

Qualifications:

Experience as a Medical Virtual Assistant or in a similar administrative role in a healthcare setting.
Familiarity with billing platforms and systems such as Google Workspace, Dock Health, WebPT, Therabill, and Intake Q (preferred but not required).
Knowledge of medical insurance, claims, and pre-authorizations.
Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
Excellent communication skills, both written and verbal.
Attention to detail and accuracy in maintaining patient records and processing claims.
Compassionate, customer-oriented mindset with a commitment to delivering the best service to our patients.
Ability to work independently and virtually in a fast-paced environment.
