About Us

We are a growing short-term rental (STR) business currently managing two Airbnb properties in Colorado, with plans to acquire additional properties in the near future. We list our properties on multiple channels (Airbnb, VRBO, and more) and use Hospitable and other tools to streamline operations. Our goal is to provide a 5-star experience for our guests while continually expanding our portfolio.

Position Overview

We are seeking a highly motivated and resourceful Property Management Assistant to oversee the operational side of our STR business. The ideal candidate will have a proven track record in short-term rental or hospitality management, excellent communication skills, and the ability to juggle multiple priorities in a fast-paced environment. This is a remote position that requires flexible working hours, including the need to respond quickly to guest inquiries at any time. We are looking for a long-term partner to grow with us.

Key Responsibilities

1. Guest Communication & Support
• Respond to all inquiries and messages promptly (ASAP) across various booking platforms (Airbnb, VRBO, etc.).
• Provide top-notch support to in-house guests, ensuring a 5-star experience.
• Address guest concerns and escalate issues when necessary.

2. Property Operations & Coordination
• Schedule and coordinate cleaners, handymen, and local property managers.
• Keep track of maintenance requests and ensure quick resolutions.
• Liaise with vendors and oversee on-the-ground operations to maintain high property standards.
• Research and source new vendors for ad hoc requirements; gather quotes and determine who to use.

3. Listing & Marketing Management
• Create and optimize listings on new and existing platforms.
• Develop marketing materials for social media and other promotional channels.
• Reach out to local publications for potential coverage and PR opportunities.

4. Research & Analysis
• Perform market research on short-term rental trends and best practices.
• Conduct competitive analysis for potential new investment opportunities (training will be provided).
• Stay updated on industry regulations and guidelines to ensure compliance.

5. Guest Reviews & Reputation Management
• Monitor and respond to guest reviews in a timely, professional manner.
• Dispute negative reviews on Airbnb (or other platforms) and follow up to seek removal when appropriate.

6. Administrative Tasks
• Track expenses, coordinate with the owner on budgetary items, and maintain operational documentation.
• Assist with ad hoc projects as the business grows.

Requirements
1. Excellent English Communication Skills – Must be adept at both written and verbal communication, with a strong grasp of professional etiquette.
2. Prior Short-Term Rental/Hospitality Experience – At least 1-2 years in a similar role; familiarity with Airbnb, VRBO, or comparable hospitality positions.
3. Proficiency with Hospitable – Demonstrated experience using Hospitable (or similar STR management tools) to manage inquiries, scheduling, and automation.
4. Review Dispute Expertise – Ability to effectively dispute and remove negative reviews on Airbnb or other booking platforms.
5. Preferred Background – Former Airbnb or VRBO employees are strongly preferred, given the deep knowledge of platform guidelines and best practices.
6. Graphic Design Skills – Comfortable with basic design tools (e.g., Canva, Adobe Spark) for social media marketing and promotional materials.
7. Problem-Solving & Customer-Centric Mindset – Ability to think on your feet, resolve issues independently, and ensure guest satisfaction remains a top priority.
8. References – Must be able to provide references from previous employers or clients.
9. Flexible Work Hours – Availability to work in US time zones and respond to guest inquiries at any hour, as needed.
