Job Title: Client Relations Specialist

We’re looking for a warm, proactive, and highly organised Client Relations Specialist to become an integral part of our team. In this role, you’ll focus on fostering strong, meaningful relationships with our clients, celebrating their achievements, and ensuring they feel fully supported on their coaching journey. Working closely with both clients and coaches, you’ll play a pivotal role in driving accountability, delivering thoughtful gestures, and creating an exceptional, personalised experience that reflects the UpCoach commitment to excellence.

What You’ll Do:
• Weekly Check-Ins: Call clients weekly to discuss their progress, celebrate milestones, and gather feedback on their coaching experience.
• Celebrate Wins: Identify and validate client achievements, ensuring their successes are acknowledged and shared with the team.
• Drive Accountability: Help clients stay on track with their goals, ensuring alignment between their coaching journey and progress.
• Strengthen Connections: Serve as a bridge between clients and coaches, facilitating seamless communication and timely responses.
• Thoughtful Gestures: Plan and organise personalised birthday gifts and surprise gestures that make clients feel valued and special.
• Plan Client Holidays: Assist clients in coordinating and planning their holidays, offering tailored suggestions to ensure a smooth and enjoyable experience.
• Track Progress: Maintain detailed and organised records of client interactions, milestones, and preferences to deliver outstanding, customised service.
• Advocate for Clients: Represent UpCoach’s values of care, excellence, and commitment in every interaction, ensuring clients feel seen, heard, and supported.


What We’re Looking For:
• Experience: Minimum of 5 years in a client-facing role such as customer service, account management, or concierge services.
• Communication Skills: Warm, engaging, and professional, with the ability to build strong, lasting client relationships.
• Organisational Skills: Highly detail-oriented, with the ability to manage multiple tasks, deadlines, and client relationships.
• Emotional Intelligence: Empathetic and intuitive, with a knack for understanding and addressing client needs.
• Tech Savvy: Proficient in CRM tools (e.g., PipeDrive, Mailchimp) and project management platforms (e.g., Trello, Monday).
• Creativity: A natural problem-solver with the ability to plan unique and thoughtful ways to engage and delight clients.
• Proactivity: Resourceful and solutions-focused, ready to go above and beyond for clients.
• Passion for People: Genuine care for helping others succeed, with a drive to create memorable and impactful client experiences.
