JOB OVERVIEW

We are seeking a dedicated and highly organized Executive Virtual Assistant to provide full-time support (40 hours per week) to our leadership team, with an immediate start date. In this pivotal role, you will oversee daily tasks, streamline processes within Amazon Seller Central, and help ensure the organization operates at maximum efficiency. Your work will directly impact the success of our e-commerce operations and enable our executives to focus on strategic initiatives.

This position includes a paid two-week trial period, during which performance and fit for the role will be evaluated. If expectations are met, full employment will continue beyond the trial period.

Key Responsibilities
1. Executive-Level Support
• Manage the daily operational needs of the leadership team, serving as their go-to resource for Amazon Seller Central tasks and administrative duties.
• Organize, prioritize, and track various tasks, ensuring deadlines are met and executives can concentrate on strategic goals.
• Provide concise updates on project progress and flag any issues proactively.
2. Amazon Seller Central Management
• Monitor and maintain product listings, pricing, and inventory to uphold a high standard of seller performance.
• Respond to customer inquiries and resolve any product-related issues, ensuring a professional and positive brand experience.
• Generate and analyze reports on sales metrics, returns, and other performance data, delivering actionable insights to the leadership team.
3. Administrative & Operational Efficiency
• Develop and maintain organized documentation and spreadsheets for sales, inventory, and related processes.
• Coordinate with internal teams or external partners (e.g., suppliers, warehouses) to ensure smooth operations.
• Identify repetitive tasks and propose improvements to existing workflows, saving time for the executive team.
4. Communication & Coordination
• Act as a liaison between the leadership team and other departments or stakeholders, clarifying priorities and timelines.
• Schedule, coordinate, and attend meetings, preparing agendas and recording action items for follow-up.
• Represent the organization in professional communications when delegated.
5. Proactive Problem-Solving
• Stay informed of marketplace trends, Amazon policy updates, and best practices to continually refine internal processes.
• Identify potential bottlenecks or operational gaps and propose solutions before they escalate.
• Engage in continuous learning to keep improving performance and adapting to the evolving needs of the business.

Requirements
• Skills & Attributes
• Strong organizational and time-management abilities.
• Excellent written and verbal communication in English.
• Detail-oriented with the ability to adapt in a fast-paced environment.
• Proactive and self-motivated, able to anticipate needs and take initiative.
• Technical Proficiency
• Familiarity with Amazon Seller Central (or willingness to learn quickly).
• Proficient in Google Workspace (Docs, Sheets, Slides) or Microsoft Office.
• Comfortable using communication tools like Slack, Zoom, and email.
• Other Qualities
• Reliable internet connection and a suitable home-office setup.
• Customer-focused approach, maintaining professionalism and brand standards.
• Ability to handle confidential information with integrity.

Preferred Qualifications
• Previous experience as an Executive Assistant or similar support role.
• Background in e-commerce or Amazon account management.
• Experience in inventory management or product listing optimization.
