NDIS Virtual/Administrative Assistant (Part-Time to Full-Time)
I’m looking for a part-time to full-time Virtual/Administrative Assistant (12–20 hours/week with the potential to transition into full-time) who specializes in NDIS administration and is proficient in tools like ShiftCare and other applications commonly used in the NDIS sector. The ideal candidate will assist with administrative and client-facing tasks during 10:00 am to 2:00 pm Sydney, Australia Time, covering hours my current assistant cannot work.
Candidates must be organized, reliable, and have prior experience in NDIS-related tasks, client communication, social media management, and general administrative support. You will be trained on the specific tools and processes we use.
Your Top Tasks:
NDIS-Specific Responsibilities:
- Managing client schedules and shift rosters using tools like ShiftCare.
- Updating and maintaining NDIS documentation and compliance requirements.
- Conducting onboarding calls with new clients and sending out service agreements.
- Responding to client inquiries and gathering feedback to ensure client satisfaction.
- Administrative Assistant Tasks:
- Managing and organizing
- Creating and sending flyers, newsletters, and other client-facing documents.
- Scheduling and organizing calendars, appointments, and reminders.
-Assisting with onboarding processes for new clients or participants.
- Preparing and maintaining spreadsheets to track key data and deadlines.
- Sending invoices, following up on payments, and managing basic bookkeeping tasks (if required).
- Social Media Management and Creative Work:
- Posting on social media platforms to boost engagement and visibility.
- Scheduling and logging social media posts using a content calendar.
- Editing images and videos using Canva, CapCut, or similar tools.
- Creating content spreadsheets and organizing content for posting schedules.
- Customer and Client Management:
- Responding to customer queries using pre-set
- Talking with clients to gather feedback, address concerns, and ensure they’re happy with services.
- Organising and maintaining client databases, ensuring accurate and up-to-date records.
Other Tasks:
- General administrative assistance as required.
- Researching tools or strategies to improve business operations.
- Assisting with ad hoc projects and tasks as needed.
Job Requirements:
- Experience working with NDIS providers, systems, and tools like ShiftCare.
- Strong organisational and time-management skills.
- Excellent written and spoken English communication skills.
- Familiarity with social media platforms and engagement strategies.
- Ability to work independently, follow instructions, and manage deadlines effectively.
- Reliable smartphone and laptop with a stable internet connection.
- Prior experience in a Virtual/Administrative Assistant role is essential.

Pay:
