JOB OVERVIEW

We are seeking a highly organized and professional Personal Assistant to join our team. The ideal candidate will thrive in a fast-paced environment, have exceptional organizational skills, and demonstrate proven experience in managing administrative tasks across multiple platforms and systems. Additionally, the candidate should possess strong project management skills and be highly proficient in using Notion for planning, tracking, and organizing workflows.

Key Responsibilities


Email
Management:
- Manage and organize three different email accounts efficiently.
- Implement and maintain a proven system for prioritizing, categorizing, and responding to emails.
- Ensure timely follow-ups and maintain a clear, organized inbox structure.

Google Suite Expertise:
- Proficient in Gmail, with the ability to utilize filters, labels, and other tools to streamline workflows.
- Skilled in Google Calendar to manage appointments, schedule meetings, and set reminders.
- Financial Administration:
- File invoices and manage financial records systematically.
- Reconcile bank statements and identify and retrieve missing invoices as needed.

E-commerce Management:
- Advanced knowledge of Excel, including data entry, formatting, and using formulas to generate reports.
- Project Management:
- Leverage Notion to plan, track, and execute projects efficiently.
- Collaborate with the team to ensure tasks and deadlines are clearly communicated and met.
- Maintain organized, up-to-date Notion boards for streamlined project workflows.

Requirements
- Fluency in English (both written and spoken).
- Proven experience managing multiple tasks and platforms simultaneously.
- Strong project management skills, with a focus on organization and communication.
- Highly experienced in using Notion.
- Ability to work independently while maintaining clear communication with the team.
- A track record of thriving in fast-paced environments.
- Highly detail-oriented and extremely organized.
-Previous experience in administrative or VA roles for clients in the UK, AUS, or US.
