Virtual Assistant - Personal Assistant

We seek a proactive and skilled Personal Assistant (VA) to provide comprehensive remote support to one of our Legal Consultants. In this role, you will be vital in managing schedules, communications, and administrative tasks, ensuring day-to-day operations run smoothly.

About You

Qualifications & Experience
Experience: Minimum of 2 years as a Personal Assistant, Virtual Assistant, or in a similar administrative role.
Education: Bachelor’s degree in Business Administration, Management, or a relevant field (preferred but not mandatory).

Skills
Exceptional organisational, time management, and multitasking abilities.
Strong communication and interpersonal skills, capable of building rapport with clients and colleagues.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Excellent email communication skills in British English.

Attributes
Exceptional spoken English with a clear, neutral accent.
Comfortable answering and making client phone calls.
Detail-oriented with a proactive approach and the ability to anticipate needs.
Self-motivated and able to work both independently and as part of a team.

Responsibilities
Schedule Management: Manage the Legal Consultant’s calendar, appointments, and travel arrangements.
Client Communication: Handle client inquiries and correspondence, ensuring timely and professional responses.
Document Preparation: Assist in preparing legal documents, presentations, and reports to a high standard.

Email
Management: Oversee the Legal Consultant’s inbox, prioritising emails, composing responses, and ensuring follow-ups.
Filing System: Organise and maintain the Consultant’s digital files.
Travel Coordination: Arrange travel logistics, including booking hotels and meeting venues.
Expense Management: Process and manage expenses according to company policies.
Research: Compile information on legal topics and estate planning trends.
Ad-Hoc Tasks: Perform other administrative tasks as assigned by the Legal Consultant.

Work Schedule
Hours: Monday to Friday, 9:00 AM to 5:30 PM (London, UK time), with a one-hour unpaid lunch break.
