About the Role
We are hiring Virtual Admin Schedulers for front-facing roles within our legal operations. These individuals will manage administrative tasks and scheduling on the Matter side of our operations, working directly with clients and referral partners. The Admin Scheduler roles require strong organizational skills, attention to detail, and the ability to manage multiple schedules efficiently. You will also be working closely with internal leaders to oversee the scheduling process and ensure timely updates on all client-related matters.
Core Responsibilities Include:
- Serve as the primary point of contact for clients and partners, handling scheduling and administrative tasks.
- Manage and coordinate appointments, meetings, and deadlines, ensuring all parties are informed and schedules are maintained accurately.
- Communicate with clients, referral partners, and internal tea
- Ensure that the Matter system is up-to-date with accurate client and case information.
- Work closely with internal leaders and account managers to ensure smooth operations and division of labor.
- Assist in the oversight of account managers and ensure consistent client communication.
- Maintain a high level of professionalism and efficiency in client-facing interactions.
Core Qualifications:
- Proven experience in administrative or scheduling roles, preferably in a client-facing capacity.
- English proficiency is required
- Excellent organizational skills and the ability to manage multiple schedules simultaneously.
- Strong communication skills in English.
- Experience working with CRM systems or legal management software, including Salesforce, and Litify, is a plus.
- Ability to work effectively in a virtual environment, maintaining communication with internal and external stakeholders.
- High level of professionalism, discretion, and client service orientation.
