Role Overview
We are seeking a Medical Virtual Assistant to provide comprehensive administrative and healthcare support. This role involves managing essential tasks such as scheduling, billing, and patient coordination while maintaining strict confidentiality and professionalism. The ideal candidate will be proactive, detail-oriented, and adaptable, with strong communication skill, empathy and a commitment to supporting a healthcare-focused environment.
Key Responsibilities
•Communication and Coordination: Communicate with healthcare providers and doctors for care coordination, appointment setting, and follow-ups. Manage
•Appointment Scheduling and Reminders: Manage calendars, schedule appointments, and send reminders.
•Administrative Duties: Manage intake coordination, process applications/forms, handle logistics (e.g., ordering supplies and meals), and oversee general office-related tasks.
•Billing and Coding, Manage claims processing, insurance verification, and prior authorizations.
•Patient Inquiries and Correspondence: Respond to patient inquiries, relay information accurately, and ensure administrative efficiency with timely follow-ups.
•Patient Records Management: Accurately update and maintain patient data in EMR/EHR systems such as Practical Health System.
•Telehealth Management: Oversee telehealth platforms and assist in virtual meeting coordination.
•Document Preparation: Create reports, presentations, and spreadsheets as needed.
Required Skills and Qualifications
Qualifications
•Proficiency in English: Exceptional written and oral communication skills.
•Relevant Healthcare Work Experience: Background in medical virtual assistance, healthcare administration, or related roles.
•Software Expertise: Proficiency in:
- EMR/EHR Systems: Epic, MyChart, MyPrivia, Practical Health System (a plus).
- Productivity Tools: Google Workspace (Docs, Sheets, Calendar, Gmail), Slack, CRM tools.
- Virtual Meeting Tools: Zoom, Microsoft Teams.
•Confidentiality and Professionalism: Strong understanding of HIPAA compliance and data security standards.
•Proactive and Detail-Oriented: Demonstrates initiative, problem-solving, and attention to detail.
•Adaptability: Ability to handle dynamic workloads and changing priorities.
Basic Requirements:
•Fluency in spoken and written English.
•Availability to work with the camera on during work hours.
•Exclusive availability during the required work hours (no other clients).
•Ability to provide NBI Clearance or Local Police Clearance upon request.
Technical Requirements:
•Device: Reliable laptop or desktop computer.
•Internet: High-speed connection (minimum 10 Mbps).
•Audio: Noise-canceling headset.
•Video: Webcam for virtual meetings.
