JOB OVERVIEW

We are seeking a skilled and detail-oriented Virtual Assistant to join our team. The VA will support bookkeeping, tax, and administrative tasks for a virtual tax preparation and financial services company. This role involves managing client bookkeeping using QuickBooks Online, tax preparation data entry, document management, CRM and client relationship management using TaxDome, and other administrative tasks.

Key Responsibilities

Accounting Functions:
- Perform bookkeeping data entry in QuickBooks, including categorization, bank feed management, and account reconciliation.
- Support tax preparation by organizing and entering data into the system.
- Assist in generating financial statements and compliance reports.

Administrative Support:
- Manage client documents and ensure secure storage via client portals.
- Oversee CRM updates and data integrity for client communications and follow-ups.
- Light scheduling for client meetings and company projects.

Technology Integration:
- Use ChatGPT and other AI tools to optimize processes like document drafting and FAQs.
- Assist in managing digital workflows and automation via platforms like TaxDome and Zapier.

Qualifications
- Experience in bookkeeping, tax preparation, or accounting.
- Proficiency in QuickBooks and CRM platforms (e.g., HubSpot, Salesforce).
- Strong organizational skills with attention to detail.
- Excellent written and verbal communication skills in English.
- Ability to learn and adapt to new software and AI tools.
- Reliable internet connection and a personal computer for remote work.

Preferred Skills
- Knowledge of tax preparation processes in the US.
- Familiarity with AI tools (ChatGPT, Zapier) and workflow automation platforms.
- Experience managing virtual client relationships.
