Virtual Assistant at Duck Range Plumbing & Heating LTD.

DRPH LTD. is a trusted Mechanical Contractor for organizations with large residential housing projects. We deliver high quality HVAC and Plumbing solutions that provide efficiency and comfort to residents. Our collaborative team thrives on flexibility, innovation, and continuous improvement. We're now seeking a detail-oriented and organized Virtual Assistant to support our operations and fuel our growth.

Responsibilities

• Appointment Scheduling: Manage and schedule service appointments for clients, including reminders and follow-ups. Coordinate with external parties and ensure efficient time management.
• Customer Support: Answer phone calls (9am-5pm PST), respond to customer inquiries via phone, email, or chat, and provide information on services, rates, and availability.
Email Management: Effectively manage and organize incoming and outgoing emails, apply labels, and respond to basic inquiries. Identify owners for necessary actions and prioritize urgent matters.
• Booking Management: Organize technicians' calendars, ensuring efficient route planning.
Product & Inventory Management: Track supplies, equipment, and materials, reordering when necessary and monitoring purchase orders.
• Lead Generation: Assist in generating leads through online research, social media outreach, and data entry.
• Invoicing and Billing: Prepare and send invoices, track payments, and follow up on overdue accounts.
• Bill Payments: Assist with managing bill payments, ensuring accuracy and seamless coordination with our bookkeeper.
• Marketing Support: Help with social media management, content creation for marketing materials, and email marketing campaigns.
• Report Generation: Compile reports on service calls, customer satisfaction, and financial performance.
• Document Management: Organize and maintain Emails, digital files, contracts, and customer records.

Qualifications:
• Strong Proven experience as a Virtual Assistant or in a similar administrative role.
• organizational and time-management skills, with excellent attention to detail.
• Proficient in email management and possess strong English written and verbal communication
• Familiarity with QuickBooks generating Invoices, Estimates adding products and services etc.
• Experience with Calendar sharing and schedule management.
• Ability to handle multiple tasks simultaneously and prioritize effectively.
• Self-motivated, reliable, and able to work independently with minimal supervision.
• Strong problem-solving skills and the ability to adapt to changing priorities.
