We’re looking for an experienced Zoho expert (Zoho One, CRM, Books, Projects, Creator, Forms, Flow) who can build a completely automated workflow for our client process. This includes everything from initial contact capture in Zoho CRM to proposal creation in Qwilr, payment processing via Zoho Books/Stripe, automatic project creation in Zoho Projects—and most importantly, migrating our accounting data from QuickBooks to Zoho Books.
What We Need
Automated Contact & Opportunity Creation
Create a Zoho Form or Zoho Creator form that, when filled out, automatically adds/updates a contact and creates an opportunity in Zoho CRM.
Implement duplicate-checking based on
Handle error messages for missing required fields.
Discovery Call & Proposal Generation
Build an internal “Discovery Call” form that pulls existing opportunities from Zoho CRM.
Collect data (budget, timeline, requirements) and generate a proposal document stored in Google Drive.
Integrate with Qwilr (or a similar proposal tool) to present a professional proposal.
Proposal Acceptance & Payment
Include an “Accept” button in the proposal that redirects clients to a secure payment page (Zoho Checkout or Stripe).
After payment is confirmed, automatically generate a paid invoice in Zoho Books and update the corresponding opportunity in Zoho CRM with the payment details.
Project Creation in Zoho Projects
Upon payment confirmation, automate the creation of a new project in Zoho Projects.
Use project templates and add relevant tasks, milestones, and assigned team members based on the data from the Discovery Call form.
QuickBooks to Zoho Books Migration
Lead the complete migration of our existing SMALL accounting data from QuickBooks to Zoho Books.
Configure chart of accounts, reconcile historical data, and ensure best practices for financial workflows.
Integration & Automation
Use Zoho Flow or Deluge scripting to link each step: form submissions, CRM updates, document generation, invoices, and project creation.
Implement robust error handling and notifications for any failed data sync or payment processes.
Deliverables
1. Zoho CRM Setup: Forms for contact/opportunity creation, plus custom fields and duplicate checks.
2. Discovery Call Form & Qwilr Integration: Automated proposal generation in Qwilr or a similar tool.
3. Payment Workflow: Integrated payment page, automated invoice generation in Zoho Books, payment status tracking in Zoho CRM.
4. Zoho Projects Setup: Configured project templates, automated project creation with tasks and milestones.
5. QuickBooks to Zoho Books Migration: Completion of all accounting data migration, including reconciliation, chart of accounts setup, and historical transactions.
6. Documentation & Handover: Detailed instructions on how the system works, plus any relevant Deluge scripts or Zoho Flow setups.
