Job Overview
This position involves managing executive-level communications, scheduling, task management, and administrative operations in a fast-paced, high-performance environment. The role emphasizes responsiveness, organizational excellence, and proactive support, with performance linked to specific KPIs related to productivity, communication efficiency, and task execution.
Responsibilities

Prerequisites:

Communication Management
- Handle executive communications across platforms, including Telegram, WhatsApp, Email, and Twitter.
Manage conversations in the executive’s tone and style.
- Draft and send professional copy for official documents and communications.

Meeting Coordination
- Schedule meetings with team members, C-suite executives, and external stakeholders.
- Ensure calendar management aligns with business priorities.
- Send reminders and adjust meetings as needed to optimize time.

Task & Deadline Management
- Take detailed notes during meetings.
- Maintain and update task lists in Notion, Excel, Google Sheets, and Google Docs.
- Provide daily task reminders, including overdue and urgent items.

Daily Sync & Reporting
- Conduct daily check-ins to review new conversations, responses, and action plans.
- Summarize meeting notes and tasks requiring follow-up.

Personal Task Management
- Organize personal appointments, calls, and errands.
- Schedule and manage personal engagements alongside business tasks.

Auxiliary Work & Growth
- During the course of your employment, other tasks & duties may come up for the company and executive.

KPIs
The following KPIs will be tracked, with payments tied to performance upon meeting these metrics:
Response Time:

- Respond to incoming messages and emails within 4 hours during US business hours.

Task Completion Rate:
- Complete 95% of assigned tasks within the specified timeframe.

Meeting Scheduling Accuracy:
- Maintain a 95% error-free scheduling record after onboarding & probation period.

Daily Sync Compliance:
- Conduct daily sync meetings with status updates and next steps.

Document & Copy Quality:
- Submit all professional documents and communications with minimal corrections needed.

Payment Breakdown
- Total Compensation: $1,000/month base pay, with additional quarterly bonuses based on outcomes and week-by-week effectiveness.
Base Pay: $1,000/month.

Quarterly Bonuses: Based on performance metrics linked to task completion, communication management, and scheduling efficiency.

Resources & Support
- Communication Tools: Access to all required platforms (Telegram, WhatsApp, Email, Twitter, Notion, Google Workspace).
- Task Management Tools: Company-provided project management and productivity tools.
- Administrative Support: Authority to manage schedules and arrange meetings independently.
Expectations
- Timeliness: Ensure prompt responses and task completion within deadlines.
- Communication: Provide regular updates and proactive feedback.
- Accountability: Maintain high standards of accuracy, professionalism, and reliability.
- Work Hours: Full availability during US business hours.
