(1) The Real Estate Admin Assistant is vital in supporting real estate agents by managing administrative tasks, coordinating transactions, and ensuring smooth operations. This position requires a detail-oriented individual with excellent organizational and communication skills to support buyer and seller transactions, client communications, and marketing efforts seamlessly.
Core responsibilities:
Administrative Support:
Coordinate meetings and property showings for agents and clients.
Maintain and organize calendars to ensure seamless scheduling.
Handle incoming calls and inquiries from clients and vendors.
Organize and promptly respond to
Maintain and manage digital files for properties and clients in shared drives.
Transaction Coordination:
Manage seller transactions, including initiating listing checklists and ordering property profiles from title representatives.
Oversee buyer transactions, such as checking saved properties, scheduling property tours, and sending appointment reminders.
Prepare reports and ensure smooth transitions by starting escrow checklists.
Marketing & Farming Support:
Assist with farming activities, including sending
Edit and update market statistics for farming pieces and other marketing materials.
Distribute marketing collateral, such as brochures and flyers, as needed.
Client Relations:
Follow up with clients regarding property viewings, transactions, and inquiries.
Provide timely updates and ensure a positive client experience throughout the process.
Database Management:
Input and update property details in CRM systems, Google Contacts, and other databases.
Regularly maintain and ensure the accuracy of client and property records in the CRM.
Desired skills:
Understanding real estate processes, farming, and market stats is essential.
Excellent written and verbal communication for client interactions and team collaboration.
A proactive approach to resolving scheduling conflicts and transaction issues.
Strong focus on accuracy in handling transactions and data entry.
Proficient with Real Estate CRM systems.
Ability to meet deadlines and ensure all tasks are completed efficiently.
