JOB OVERVIEW

We are seeking a detail-oriented and proactive Virtual Assistant to assist with financial tasks, bookkeeping, reporting, website management, and maintaining a positive online presence. The ideal candidate must be highly organized, tech-savvy, and experienced with financial software, reporting tools, and website upkeep. This role will play a critical part in supporting our operations, ensuring accurate and timely financial processes, and helping maintain the company’s online reputation.

Responsibilities:
Financial Tasks:

Reconcile bank accounts and RAMP credit card transactions in AppFolio using journal entries.
Complete monthly bookkeeping and financial reconciliation.
Assist in preparing quarterly reports for investors.
Prepare monthly and quarterly investor letters based on information provided.
Software Management:

Learn and utilize AppFolio through training videos provided by AppFolio University.
Maintain accuracy and consistency when managing journal entries, credit card reconciliation, and financial data.
Website Maintenance:

Regularly update and maintain the company website, ensuring it is accurate, up-to-date, and functioning smoothly.
Update the website with new deals and property information within five business days of closing a new deal.
Ensure content is current, professional, and aligns with company branding.
Google Reviews:

Manage the company’s Google Reviews profile.
Post at least 4 reviews to improve the company’s online presence (as required by December 31, 2024).
Respond to customer reviews professionally and promptly.
Operational Support:

Perform data entry and financial tracking.
Support reporting processes with attention to detail and accuracy.
Time Tracking and Reporting:

Accurately track work hours using TimeProof.
Complete tasks within the designated work hours and meet deadlines consistently.
Work Schedule:
Hours: 20 hours per week.
Work Time: Must be available and working 11 AM to 3 PM MST (Mountain Standard Time).
Tools and Payment:
Time Tracking: All hours will be logged and monitored using TimeProof.
Payment: Compensation will be processed through EasyPay.
Training Requirements:
The selected candidate will be required to:
Watch and complete all AppFolio University training videos.
Learn to reconcile RAMP credit card transactions using AppFolio journal entries.
Paid Time Off Structure:
The Virtual Assistant will receive 5 paid holidays per year, as follows:

New Year's Day – January 1
Good Friday – (Date varies, March or April)
Independence Day – June 12
All Saints' Day – November 1
Christmas Day – December 25
Sick Days: No paid sick days will be provided.
Qualifications:
Previous experience with AppFolio or similar property management/financial software preferred.
Strong background in bookkeeping, financial reporting, and reconciliation.
Experience in website management and updating content.
Strong understanding of Google Reviews management and improving online presence.
Excellent communication and organizational skills.
Ability to work independently and meet deadlines.
Proficiency in Excel or Google Sheets for financial data tracking.
