We are seeking a highly skilled and detail-oriented Executive Assistant to support Dr. David in managing day-to-day operations, ensuring a seamless workflow, and maintaining excellence in patient and practice management.
Position Summary:
As the Executive Assistant to Dr. David, you will be responsible for managing various administrative and operational tasks. Your primary focus will be ensuring effective communication, scheduling, and time management for Dr. David and the practices. This role requires fluency in English (spoken, written, and reading) with no accent to ensure clear communication with patients and partners.
Key Responsibilities:
(1) Communication Management:
Handle all inbound and outbound phone calls, ensuring professionalism and efficiency.
Manage
Oversee text message communication, ensuring prompt and professional replies.
(2) Scheduling and Calendar Management [coordinate and manage Dr. David's schedule, including]:
- Clinical appointments
- Business Meetings
- Marketing Endeavors & Community Outreach
- Research Commitments
- Integrative & Chiropractic Patient appointments, including scheduling, rescheduling, and cancellations.
(3) Patient Care Plan Management [oversee all scheduling needs related to patient management, including]:
Integrative Patients:
- Follow-up appointments
- Lab result reviews
- Other follow-up needs
Chiropractic Patients:
- Re-examinations
- Discharge planning
- Ensure patients are informed of upcoming appointments and any necessary preparations.
(4) Product and Order Management:
Process and manage wellness product orders, ensuring accurate fulfillment and timely delivery. Process returns, shipping issues and other managerial responsibilities with drop-shipping campaigns.
(5) Administrative Support:
Maintain organized records and documentation for appointments, patient interactions, and other practice-related tasks.
Provide proactive support to streamline Dr. David's workflow and optimize his time management.
Qualifications:
Fluent in English (speaking, reading, and writing) with no discernible accent.
Proven experience as an Executive Assistant, preferably in a healthcare or wellness setting.
Excellent organizational and time management skills.
Strong communication and interpersonal skills.
Proficiency in scheduling tools,
Familiarity with EHR systems and patient management software is a plus.
Ability to handle sensitive information with discretion and confidentiality.
