JOB OVERVIEW

We are seeking a highly organized and proactive individual to take on a dual role as a Personal Assistant and HR Recruiting Support for the Senior Vice President of HR. The ideal candidate will be detail-oriented, efficient, and capable of managing both administrative tasks and supporting our talent acquisition efforts. This remote, offshore position requires excellent communication, time management, and multitasking skills to ensure smooth daily operations and assist with recruiting top talent for our multifamily real estate company.

Responsibilities:
Personal Assistant Duties:

Review and organize incoming emails; flag critical messages for immediate attention.
Maintain and manage the SVP’s schedule, including tracking meetings, deadlines, and deliverables.
Provide timely reminders and updates to keep the SVP on track with tasks and commitments.
Assist with the preparation and coordination of reports, documents, and other materials.
Handle confidential and sensitive information with professionalism and discretion.
Support additional administrative tasks as needed.
HR Recruiting Support Duties:

Assist with posting job openings, screening resumes, and scheduling interviews.
Support the recruitment process by coordinating with candidates and hiring managers.
Help manage applicant tracking systems and ensure candidate data is up-to-date.
Conduct initial phone screens or interviews with candidates, if needed.
Provide administrative support for onboarding and other HR-related tasks.
Requirements:

Proven experience as a Personal Assistant or in a similar administrative role.
Experience in HR recruiting or talent acquisition is a plus.
Exceptional organizational and time management skills.
Strong written and verbal communication skills in English.
Proficiency in using email platforms, calendar tools, and task management software.
High attention to detail and the ability to prioritize tasks effectively.
Reliable internet connection and the ability to work during specified hours aligned with the SVP’s time zone.
Preferred Qualifications:

Familiarity with HR processes and terminologies is a plus.
Experience supporting senior executives in a fast-paced environment.
Experience in multifamily real estate or related industries is a bonus.
