Client Overview:
*Stefanie is a nutrition coach and a dream client to work with! She is looking for an amazing unicorn to help her with daily administrative tasks.
Client Requirements:
*Must be able to work 19 hours on weekdays and 1 hour on Saturdays.
*Must be able to work 8am-12pm Eastern Time (US)
*Must have at least 2 years of experience as an administrative assistant or any similar role
*Must have excellent organization and time management skills
*Must have excellent verbal and written communication skills
*Must have super high attention to detail
*Must be super organized
*Detail-oriented with a commitment to quality control
*Bookkeeping experience is a plus
*Must be proactive
*Must be personable and customer-focused
*Must be female

Responsibilities/Tasks:
*Manage and own the Client Journey:
- Coordinate discovery calls
- Handle email correspondences
- Schedule follow-up appointments via the Jane App
- Register clients to the group via Google Sheets and the Jane App
- Welcome new clients to the community platform via the Skool app
- Manage schedules via Jane App and Google calendar
- Record Zoom calls and extract testimonials
- Follow-up with clients for their testimonials
- Send out surveys to clients using various platforms
*Assist with client inquiries, scheduling appointments, and managing communications, including liaising with clients' physicians, to ensure a positive online client experience.
*Create and manage spreadsheets (Google Sheets, Excel) to maintain accurate records of client progress, feedback, and other relevant information.
*Update weekly metrics in the company scorecard by pulling data from various platforms.
*Help organize and coordinate Stefanie’s program, including scheduling group coaching calls, private coaching calls, and managing digital program materials.
*Manage online calendars (Google Calendar, Jane App)
*Set up payment links, team email accounts, and conduct reference checks for new hires. Ensure that all processes and the company "playbook" are organized and up to date.
*Arrange meetings for the CEO and potentially travel, while taking meeting minutes/notes and creating tasks for appropriate team members.
*Draft, edit, and send emails, newsletters, and other communications to clients and team members, ensuring clarity and professionalism.
*Organize and categorize incoming emails
*Flag important communications for Stefanie
*Utilize email templates to respond to client inquiries professionally and compassionately
*Assist in transitioning from Jane App to another platform called Practice Better
*Manage Stefanie's referral program
*Make sure the doctors know about the program and their client's success
*Assist with invoicing, payment tracking, and budgeting including bookkeeping (i.e. organize and track company revenue and expenses, organize invoices and receipts for accounting)
*Add content to the community group
*Collaborate with Stefanie and the team
