Role Overview:
We are seeking a highly organised and detail-oriented Remote Administrator/Bookkeeper to support our dynamic team. This role combines administrative and bookkeeping tasks, ensuring smooth operational processes and accurate financial administration.. You will be closely supervised and supported by the Practice Manager and Finance Manager respectively.

Key Responsibilities:
Administrative Duties:
Monitor and manage shared email inboxes, categorising and forwarding messages as needed.
Update project management software (e.g., Monday.com) with new tasks and project details.
Assist with drafting and sending fee proposals using templates
Maintain and organise digital records and files.
Assist in booking and coordinating online events, travel, and professional development activities.
Respond to team enquiries promptly and professionally.
Bookkeeping Duties:
Prepare and send invoices through Xero, ensuring accuracy.
Allocate payments and update project statuses in Xero and project management software
Track aged receivables, chase overdue payments, and send reminders via email.
Reconcile accounts, including phone bills and monthly reports, notifying relevant parties of discrepancies.
Assist with financial data preparation
Support Finance manager with administrative tasks

Qualifications:
Proven experience in administrative and bookkeeping roles, preferably remote.
Proficiency in Xero
Familiarity with project management tools (e.g., Monday.com) is an advantage.
Strong organisational and multitasking skills with high attention to detail.
Excellent written and verbal communication skills in English.
Self-motivated with the ability to work independently.
