We are seeking an experienced Bookkeeper proficient in Zoho Books to manage and reconcile financial transactions, prepare BAS statements, and process payroll for AVA Consulting. The role involves ensuring compliance with the Australian tax system, handling international transactions, and optimizing workflows for efficiency. This position requires availability during Melbourne business hours and includes an initial workload-heavy period followed by ongoing fortnightly financial management.

Responsibilities:

Initial Setup and FY24 Reconciliations:
• Review and optimize the setup of Zoho Books to ensure it meets business needs.
• Process and reconcile approximately 50-100 transactions for FY24, including subscription payments across multiple bank account statements.
• Ensure all transactions are recorded accurately and in compliance with the Australian tax system.

Ongoing Financial Management:
• Perform fortnightly reconciliations for 10-15 transactions, most of which can be auto-categorized using bank rules.
• Manage and record transactions in Zoho Books and Wise bank accounts, ensuring accuracy and proper categorization.
• Process fortnightly payroll payments for 4-5 staff members, using timesheets recorded in Zoho People.

Tax and Reporting:
• Prepare and submit quarterly BAS statements for FY24 and FY25.
• Generate monthly, quarterly, and annual financial reports in Zoho Books for review.
• Support the company’s compliance with the Australian tax system, including proper recording of international transactions (some in USD).

Workflow Optimization:
• Suggest and implement improvements to workflows in Zoho Books to enhance efficiency and accuracy.

General Support:
• Use Google Sheets to assist with any financial tracking or analysis as required.
• Be available for initial workload-heavy period (first two weeks) to complete FY24 reconciliations and reporting, then transition to a fortnightly commitment.

REQUIREMENTS:
• Must be available between the hours of 8am-3pm Melbourne, Australia Time for meetings and collaboration.
• Experience with the Australian tax system, including BAS preparation.
• Familiarity with international transactions and handling multiple currencies (specifically USD).
• Proficiency in Zoho Books and ability to troubleshoot and optimize its setup.
• Knowledge of Wise bank accounts or similar financial tools.
• Experience in payroll processing for 4-5 staff members and working with timesheet-based payroll systems.
• Strong organizational skills to manage recurring reconciliations and reporting schedules.
• Competence in Google Sheets for data tracking and analysis.
• Availability for an initial period of high workload followed by ongoing fortnightly tasks.

Workload Overview:
• Initial Phase (First Two Weeks): Estimated 4-5 hours to complete FY24 reconciliations and setup.
• Ongoing: Approximately 2-3 hours fortnightly for reconciliations, payroll processing, and reporting.
