We are seeking a highly organized, proactive, and detail-oriented Executive Virtual Assistant to provide administrative and executive support to various teams. As an Executive Virtual Assistant, you will be responsible for managing a wide range of tasks and ensuring the smooth operation of daily activities for our various teams. This remote role requires excellent communication skills, a strong ability to multitask, and the capacity to anticipate needs and solve problems independently.

KEY RESPONSIBILITIES

EXECUTIVE SUPPORT: Provide comprehensive administrative support to various teams, including calendar management, scheduling meetings, travel coordination, and preparing briefing materials.
COMMUNICATION MANAGEMENT: Manage and prioritize emails, phone calls, and other correspondence on behalf of executives. Draft, proofread, and send emails and other communications.
TRAVEL COORDINATION: Arrange and manage all aspects of business travel, including flights, accommodations, transportation, and itineraries, ensuring smooth and efficient travel experiences.
MEETING AND EVENT COORDINATION: Schedule, organize, and prepare for meetings, conferences, and events. Take meeting notes, prepare agendas, and track action items.
PROJECT MANAGEMENT: Assist in managing special projects by tracking deadlines, coordinating with relevant teams, and ensuring timely follow-up on deliverables.
DOCUMENT MANAGEMENT: Organize and maintain files, documents, and records, ensuring that all relevant materials are accessible and up to date.
REEARCH AND REPORTING: Conduct research on various topics as requested, and prepare reports, presentations, and summaries for executives.
CUSTOMER AND CLIENT LIASON: Act as a liaison between the executive and clients, customers, or other key stakeholders, handling inquiries and maintaining strong professional relationships.
TASK MANAGEMENT: Ensure the executive’s to-do list is managed effectively, prioritizing tasks and ensuring timely completion of high-priority items.

KEY QUALIFICATIONS:

- Proven experience as an Executive Assistant, Virtual Assistant, or similar administrative role.
- Exceptional organizational and time-management skills.
- Strong written and verbal communication skills.
- Ability to work independently with minimal supervision and manage multiple tasks simultaneously.
- Tech-savvy with proficiency in productivity tools like Microsoft Office Suite, Google Workspace, Slack, Zoom, and project management tools such as Asana or Trello.
- Discretion and confidentiality in handling sensitive information.
- Strong problem-solving skills and ability to anticipate executive needs.
- Flexibility to adapt to changing priorities and tasks.
- Reliable internet connection and a quiet, dedicated workspace.
-Mastery of English at the C2 level is required.
- Bachelor's degree in a relevant field (or equivalent experience).

PREFERRED QUALIFICATIONS:

- Previous experience working remotely in an executive support role.
- Experience in specific industries (e.g., tech, finance, healthcare) is a plus.
- Knowledge of bookkeeping or basic accounting practices (if applicable).
