The TCS Host plays a vital role in addressing and resolving therapy noncompliance among students through engaging and supportive sessions. This position involves managing scheduling, communication, and documentation to enhance therapy attendance and outcomes. Strong organizational skills, effective communication, and collaboration with students, learning coaches, and school staff are key to success in this role.
Responsibilities
Session Facilitation:
Host 30-minute weekly TCS sessions via Engageli with up to 10 students per session.
Create a supportive environment to address therapy attendance issues and develop actionable plans with students.
Document session attendance and discussions in RSM and TotalViewSchool (TVS) on the same day the session is held.
Scheduling:
Schedule Therapy Connect Sessions on Tuesdays, Wednesdays, and Thursdays between 8:00 AM CST and 3:00 PM CST.
Ensure new schedules are entered by Friday at 11:00 AM CST, with
Conduct approximately 14 sessions per week.
Communication:
Send reminder
For Tuesday sessions, send 48-hour reminders on Sunday and 24-hour reminders on Monday.
Monitor the
Notify learning coaches (cc the assigned Special Education teacher) about the session purpose and therapy attendance updates.
Referral Management
Receive referral notifications via
Schedule TCS sessions within students' available time slots in OLS/OMHS calendars, ensuring sessions begin on the assigned start date.
Group students with common availability for sessions when appropriate.
Documentation and Billing
Document attendance, session notes, and therapy updates in RSM and TVS using provided templates and billing guidelines.
Record billable hours for session time, scheduling/documentation (up to 0.25 hours per student/week)
Note billable cancellations and update therapy notes for any removed sessions.
Process Adherence
Follow established referral, scheduling, and documentation procedures to ensure compliance with service timelines and requirements.
Adjust processes as necessary to meet individual student needs and resolve attendance issues effectively.
Key Requirements
Experience in education, therapy services, or related fields preferred.
Proficiency in virtual platforms (e.g., Engageli) and student management systems (e.g., OLS, RSM, TVS).
Strong organizational and time management skills.
Excellent written and verbal communication skills to engage effectively with students, learning coaches, and school staff.
Ability to handle sensitive information with discretion and professionalism.
