Job Title: IT Systems Integration & Software Development Administrator (Website Management, Salesforce, Marketing Automation, and Onboarding)

Role Overview:

The IT Systems Integration & Software Development Administrator plays a vital role in ensuring the seamless integration, customization, and operation of key business systems. You will be responsible for integrating and customizing software platforms such as Salesforce, QuickBooks, RingCentral, Jobber, Mailchimp, Postalytics, and DocuSign, while ensuring that they align with the company’s branding, operational needs, and business goals. Your role will also involve website management, troubleshooting system integrations, automating workflows, and supporting onboarding by creating accounts for new hires. Additionally, you will handle the integration of RingCentral with Salesforce, streamline marketing efforts, and provide ongoing IT support to the team, ensuring that all systems are running efficiently and that new employees are properly set up in the company’s IT infrastructure.

Key Responsibilities:
1. Software Integration & Customization
• Salesforce (CRM): Implement, configure, and customize Salesforce to be the central hub for customer and lead data. Create a Salesforce account, ensure it reflects the company’s branding, and integrate it with systems like QuickBooks, Jobber, Mailchimp, Postalytics, and RingCentral.
• RingCentral Integration: Set up and integrate RingCentral with Salesforce to log customer interactions such as calls, emails, and SMS automatically. Ensure efficient communication across platforms to provide optimal customer service.
• Jobber (Field Service Management): Create and configure Jobber accounts, ensuring that job scheduling, invoicing, and dispatching workflows are aligned with company branding and operational needs. Or please recommend a better system for our company.
• Mailchimp (Email Marketing): Integrate Mailchimp with Salesforce to automate and customize email marketing campaigns, follow-ups, and customer segmentation.
• Postalytics (Direct Mail Campaigns): Set up and customize a Postalytics account for direct mail campaigns, including creating templates for postcards, flyers, and automated mail campaigns that integrate with Salesforce.
• DocuSign (Electronic Signatures): Integrate DocuSign with Salesforce to ensure smooth contract management and e-signatures for customer agreements, syncing all signed documents with client records.
2. Automation & Data Import
• Automate lead entry and data imports into Salesforce using methods like CSV file uploads, Data Loader, and third-party tools (e.g., Zapier).
• Set up Web-to-Lead forms for automated lead capture directly from the website, ensuring leads are added to Salesforce without manual intervention.
• Utilize Zapier to automate processes between Salesforce, QuickBooks, Mailchimp, and Postalytics, ensuring a seamless flow of information and reducing the need for manual data entry.
3. Website Management & Maintenance
• Regularly update and maintain the company’s WordPress website, ensuring that content is fresh, accurate, and consistent with the company’s brand.
• Optimize the website for search engines (SEO) and ensure it’s fully responsive, providing an excellent user experience across all devices.
4. System Monitoring & Troubleshooting
• System Health Checks: Monitor integrated systems, including Salesforce, Jobber, QuickBooks, RingCentral, DocuSign, Mailchimp, and Postalytics, ensuring they are functioning smoothly.
• Troubleshooting: Resolve issues related to system integrations or data syncing quickly, ensuring minimal downtime and smooth operations.
5. Employee Onboarding & IT Support
• Account Setup: Create new accounts for employees across key software tools such as Salesforce, RingCentral, QuickBooks, Jobber, DocuSign, and others, ensuring new hires have the tools they need to perform their job effectively.
• Ensure all IT systems (e.g., email, CRM, telecom) are properly configured for new hires and conduct initial training on how to use the software tools effectively.
• Provide ongoing IT support to troubleshoot and resolve technical issues for team members.
6. Marketing & Communication
• Social Media & Marketing Campaigns: Support marketing efforts by ensuring that Mailchimp and Postalytics campaigns are automated and tailored to customer segments. Create and schedule regular posts for social media to ensure consistent brand messaging.
• Paid Advertising Campaigns: Design and implement paid advertising campaigns through Facebook or other platforms, ensuring that campaigns are optimized for lead generation.
• Customer Communication: Ensure that RingCentral is integrated with Salesforce for streamlined customer communication, allowing for better tracking and follow-up.
7. Team Communication & Collaboration
• Internal Communication: Use Microsoft Teams to facilitate internal communication, coordinating tasks, discussing project updates, and troubleshooting issues as they arise.
• Regular Meetings: Attend meetings to provide updates on system integration progress, marketing campaigns, and other relevant IT initiatives.

Key Skills & Qualifications:
• Technical Expertise:
• Experience with Salesforce customization and integration (including integration with QuickBooks, RingCentral, Jobber, Mailchimp, and Postalytics).
• Strong understanding of RingCentral and its integration with Salesforce to streamline customer communications.
• Ability to create, manage, and troubleshoot accounts across various platforms such as Salesforce, QuickBooks, RingCentral, DocuSign, and Mailchimp.
• Familiarity with Zapier for automating workflows and integrating third-party applications.
• WordPress experience for website management, including theme customization, plugin management, and regular content updates.
• Automation & System Integration:
• Expertise in automating workflows across systems, including Salesforce and QuickBooks, and utilizing Zapier to automate data flows.
• Familiarity with importing and exporting data into Salesforce using tools like CSV, Data Loader, and Web-to-Lead forms.
• IT Support & Onboarding:
• Strong ability to create accounts for new hires and ensure smooth onboarding in various software systems.
• Experience with setting up employee accounts in business-critical tools like Salesforce, RingCentral, and others, as well as troubleshooting basic IT issues.
• Communication & Problem-Solving:
• Strong written and verbal communication skills to ensure effective team collaboration and customer service.
• Excellent troubleshooting and problem-solving skills to ensure smooth integration and operation of all systems.
• Marketing & Customer Engagement:
• Understanding of marketing tools, including Mailchimp, Postalytics, and social media for customer outreach.
• Experience in managing and automating email and direct mail campaigns to increase customer engagement.
