Overview:
Media Associates International (MAI) is a global network of Christian writers, editors, and publishers from the majority world. It is supported by a small global team, international and regional boards, and a network of volunteers. Its staff, boards, volunteers, and affiliated individuals and organizations live in countries around the world.

The Administrative Assistant provides administrative support to MAI’s CEO, global team, and boards. The ideal candidate is a self-motivated team player who is highly organized and has experience working in a virtual work environment with an international team.

Major Job Responsibilities:

General administrative duties
• Regularly communicates and collaborates with direct supervisor and MAI team and provides them with day-to-day administrative support as requested.
• Manages organizational email accounts.
• Responds to requests and schedules meetings.
• Helps with social media and website administration.
• Helps maintain MAI’s online book distribution channels.

Manages electronic files and cloud file storage including:
• Updating, distributing, and maintaining electronic documents for the board and staff.
• Maintaining records for MAI-owned equipment and software.
• Maintaining records of scholarships and fiscal sponsorships.
• Participating in maintaining MAI’s constituent communication databases.

Meeting and event planning:
• Conference and virtual meeting app administration
• Venue, housing, catering, transportation, and entertainment/outing bookings
• Participant registration and presenter invitations
• Volunteer coordination
• Honorarium distribution
• Travel insurance, and visas
• Post-event review coordination

Finance team liaison
Connects with the finance team as needed to ensure all invoices are paid, forms and receipts are submitted, TSA and medical insurance deductions and SEP contributions and made, and all finance reports are distributed to the correct people.

Supporting the team
• All other duties as assigned.

• Has advanced skills in video, voice, and text-based communications tools, online calendars, email, and social media apps.
• Able to quickly learn software and apps.
• Total fluency in both spoken and written English. Fluency in Spanish, Portuguese, French, Chinese, or Arabic is beneficial but not required.
• Committed to and embraces MAI's vision, mission, values, statement of faith (Evangelical Christian), and statement of Christian community values without reservation.

Experience:
Three to five years of administrative experience preferred. Experience with Microsoft Office, Google Workspace, or equivalent is required. Experience with WordPress and social media administration is beneficial but not required.

Additional requirements:
• Able to work a typical schedule aligned with 8am to 5pm on the east coast of the US (UTC -4/-5).
• Able to secure reliable internet.
• Able to work from home.
• Able to travel internationally on rare occasions.
