We are seeking a detail-oriented and proactive Listing Coordinator & Specialist to help us
maintain the smooth and professional operation of our property listings. If you are passionate

Position Overview:

As a Listing Specialist & Coordinator, you will be responsible for coordinating the entire listing
process, ensuring that properties are marketed, presented, and managed with the utmost
professionalism. You will handle tasks related to listing preparation, MLS management
and client communication while ensuring that each listing receives the attention and care it
deserves. Your role will be vital in ensuring high levels of client satisfaction and smooth
coordination throughout the listing lifecycle—from listing preparation to closing.

Key Responsibilities:

Contract Preparation & Client Onboarding:
? Draft listing paperwork with sellers, ensuring all terms and disclosures are accurately
reflected.
? Compile and organize the disclosure packet for sellers, ensuring all documents are
completed and signed.
? Conduct client intake and ensure all necessary information is gathered for the listing
process.
? Advise clients on listing preparation, including ordering HOA documents, preparing the
home for photos, and setting realistic expectations.
MLS & Listing Management:
? Enter and manage MLS listings, ensuring the accuracy of property details and timely
updates.
? Input property details into Trello for cross-departmental management and tracking.
? Upload selected photos to MLS and other listing platforms if relevant (Realtor.com,
Zillow, etc.).
? Monitor listings for updates or changes and promptly address any issues or discrepancies.
? Update systems with status changes (e.g., active, pending, closed) and any price
adjustments.

Marketing & Promotion:
? Schedule and coordinate professional photography for each listing to ensure optimal
presentation.
? Order and coordinate the placement of listing signs, shoe covers, and containers for
property showings.
? Order marketing materials (e.g., flyers, postcards, brochures) for each listing and ensure
timely distribution.
? Collaborate with marketing personnel to ensure each listing is promoted across social
media platforms, email campaigns, and other advertising channels.

Client Communication & Coordination:
? Follow up with agents who have shown listings and keep sellers informed with weekly
updates regarding property status, showings, and feedback.
? Coordinate and schedule showing dates, open houses, and other relevant events with
agents and sellers.
? Serve as the point of contact for client questions, concerns, or special requests,
maintaining a high level of client satisfaction.
? Coordinate listing timeline and "Go Live" dates with sellers to ensure all necessary
materials and preparations are in place for the market launch.
? Provide white-glove service and support for sellers throughout the entire transaction,
ensuring a seamless experience.

Offer & Negotiation Support:
? Compile and present multiple offer spreadsheets to sellers, ensuring all relevant details
are clearly communicated.
? Assist with questions or negotiations related to offers and contracts, ensuring a smooth
process for all parties.

Event Planning & Client Engagement:
? Organize, plan, and execute client events, including open houses, seller appreciation
events, or other marketing initiatives.

Administrative & Organizational Support:
? Ensure all tasks, deadlines, and appointments are tracked and completed in a timely
manner.
? Maintain an organized digital filing system for listings, contracts, and related documents.
? Assist with any additional administrative duties as needed by the real estate team.
? Update Past Client List in real time as transactions are closed.
Qualifications:
? Previous experience in real estate, listing coordination, or a similar administrative role
preferred.
? Knowledge of real estate processes, MLS systems, and listing platforms (Bright MLS,
Zillow, etc).
? Strong organizational skills with the ability to handle multiple listings simultaneously.
? Proficiency in real estate software and tools (e.g., MLS, CRM systems, Canva, Google
Suite, etc.).
? Excellent communication skills, both written and verbal, with a customer-first mentality.
? Ability to work independently, manage tasks, and meet deadlines with minimal
supervision.
? High level of professionalism, integrity, and confidentiality.
? Strong problem-solving skills and attention to detail.
