We are seeking a highly skilled and detail-oriented Full-Cycle Bookkeeper to oversee the financial operations of our AV rental business in New Jersey. The ideal candidate must have experience with QuickBooks and familiarity with ERP tools such as Flex is a strong advantage.
Key Responsibilities:
Full-Cycle Bookkeeping:
1.Manage all aspects of bookkeeping, including accounts payable, accounts receivable, and payroll processing.
2.Accurately record financial transactions related to rental equipment, contracts, and service fees.
Invoicing and Payment Processing:
1. Generate accurate and timely invoices for clients (ensuring flow from ERP/CRM to QB).
2. Track and manage payment collections to maintain positive cash flow.
Bank and Account Reconciliation:
1. Reconcile bank accounts, credit card statements, and vendor accounts regularly.
2. Ensure all transactions are accurately recorded and discrepancies are resolved promptly.
3. Create weekly cash flow (cash ins & cash out)
Financial Reporting:
1.Have a monthly closing process and ensure review of P&L, Balance sheet & Cash Flow statement w/ CFO.
2.Assist CFO with the monthly financial performance review versus forecast
Compliance and Tax Assistance:
1. Maintain compliance with state and federal tax laws, including sales tax reporting.
2. Work with external tax professionals & CFO during tax preparation and filing.
ERP and Software Utilization:
1.Leverage QuickBooks for all accounting processes and reporting needs.
2. Utilize ERP tools like Flex (if experienced) to streamline inventory and order management.
Process Improvement:
1. Ability to document processes & current controls
2. Identify and implement improvements to accounting workflows and processes.
3. Stay updated on best practices and industry standards for financial management in the rental business.
Required Qualifications:
Education: Associate’s or Bachelor’s degree in Accounting, Finance, or a related field (preferred).
CPA is preferred
Experience:
Minimum of 5 years of bookkeeping experience, experience in the events rental or AV industry is preferred.
Proficiency in QuickBooks is a must.
Experience with ERP tools, such as Flex, is a plus.
Soft Skills: Excellent attention to detail, strong analytical skills, and effective communication abilities.

Working hours: Able to work from 8AM to 5PM EST
