Job Description
Position Overview:
We are seeking a highly organized, proactive, and detail-oriented Virtual General Administrative Assistant to support a dynamic real estate investor, author, and business professional. This role involves managing daily administrative tasks, overseeing a team of virtual employees, and ensuring the smooth execution of real estate, construction, and business-related projects.
The ideal candidate will have a strong background in administrative support, excellent communication skills, and the ability to manage multiple priorities effectively. You will play a pivotal role in streamlining operations and ensuring tasks are completed efficiently and on time.

Key Responsibilities
General Administrative Support
Manage the executive’s calendar, schedule meetings, and organize appointments.
Draft and respond to emails, memos, and other correspondence.
Maintain organized digital files and records for ongoing projects and properties.
Conduct research on various topics, including market trends and property regulations.
Coordinate travel arrangements, event planning, and expense tracking.
Compile and present weekly progress reports for ongoing projects and tasks.
Team and Project Coordination
Supervise and delegate tasks to virtual employees for construction project management and property management roles.
Track team performance and ensure deadlines are met.
Act as a liaison between the executive and team members to provide updates and resolve issues.
Develop and implement standard operating procedures to improve team efficiency.
Real Estate & Construction Management
Coordinate with architects, contractors, and city departments for permits and project approvals.
Research and source construction professionals as needed, including electricians, plumbers, and carpenters.
Oversee project timelines, budgets, and material orders through platforms like Lowe’s, Home Depot, and Amazon.
Monitor project milestones and address any delays or issues with the team.
Property Management Support
Manage tenant and guest communications across platforms like Airbnb, Zillow, and Furnished Finder.
Oversee property listings, ensuring accuracy and optimization for visibility.
Schedule and coordinate property maintenance, cleaning, and repairs with service providers.
Track tenant applications, leases, and property occupancy rates.
Support for Writing & Business Ventures
Assist with administrative tasks related to book writing and publishing, including scheduling writing sessions, editing drafts, and coordinating with publishers.
Research and identify business opportunities to enhance brand growth and real estate investments.
Manage social media accounts, blogs, or newsletters, if applicable.

Qualifications & Skills
Strong organizational and multitasking skills.
Excellent verbal and written communication abilities.
Proficiency in tools like Google Workspace, Microsoft Office, and project management software (e.g., Trello, Asana, Slack).
Familiarity with property management platforms (Airbnb, Zillow, Furnished Finder) and online shopping platforms (Amazon, Lowe’s, Home Depot).
Prior experience in real estate, construction management, or administrative support is highly desirable.
Tech-savvy, with the ability to learn and adapt to new tools and technologies quickly.
Proven ability to manage remote teams effectively.

Requirements
Availability across time zones to accommodate team and project needs.
Reliable internet connection and home office setup.
Strong problem-solving skills and proactive approach to challenges.
Previous experience in real estate investing, property management, or business administration is preferred.

Preferred Qualifications
Knowledge of real estate investment strategies, particularly BRRRR (Buy, Rehab, Rent, Refinance, Repeat).
Experience managing short-term and mid-term rental properties.
Familiarity with publishing processes and tools for supporting an author.
A self-starter with a keen interest in entrepreneurship and real estate growth.
