Virtual Rockstar is looking for a full-time Administrative Assistant to join our client’s dynamic team. This role will provide key administrative, research, data entry, and customer service support to help our client’s business run smoothly and effectively. As an Administrative Assistant, you will work remotely, supporting both the operational needs of our client’s team and the care provided to their seniors. Your contributions will directly impact the quality of service they are able to offer to the senior community.

Responsibilities:
Administrative Support:
Invoicing and billing support
Scheduling appointments and meetings for staff and clients
Managing
Organizing and prioritizing tasks and appointments
Creating, maintaining, and organizing electronic files
Research & Data Entry:
Conducting market research and data analysis
Entering data and maintaining electronic records
Creating presentations, reports, and other documents
Content Creation:
Drafting professional
Writing/responding to blog posts
Creating and editing social media content
Proofreading and editing documents
Customer Service:
Cold calling/marketing and providing customer support
Follow-up calls and responses to client inquiries
Appointment confirmations and reminders
Responding to FAQs and appointment rescheduling
Client Care Support:
Confirming and managing client appointments
Liaising with staff to coordinate schedules
Maintaining client records while ensuring privacy and confidentiality
Verifying client insurance and handling claims processing
Tracking and following up on unpaid insurance claims
Preparing and submitting billing and payment reports
Assisting with client feedback collection and appointment waitlist management
Transcribing caretaker-client interactions
Managing client referrals from healthcare providers
Qualifications:
Proven experience as a virtual assistant or in an administrative role
Strong proficiency in Microsoft Office Suite, DocuSign, Adobe Acrobat (Writer and Reader)
Exceptional organizational skills and ability to prioritize tasks effectively
Strong written and verbal communication skills
Ability to work independently and take initiative
Experience in handling medical billing, insurance verification, and client records is a plus
Customer service experience is highly desirable
Strong attention to detail, with the ability to multitask and meet deadlines
Reliable internet access and a quiet, professional home office environment
