JOB OVERVIEW

Are you a versatile and detail-oriented professional with excellent communication skills? Join our fast-growing, family-run service company based in California, USA! We’re looking for skilled Virtual Assistants to support various departments, including Scheduling, Sales, HR, and Finance.

Position: Depends on your fit
Work Hours: PST (Pacific Standard Time)

Your Role Includes (but is not limited to):

Scheduling:
- Manage and coordinate schedules for multiple teams and technicians
- Communicate with clients and team members to confirm appointments
- Handle rescheduling requests and cancellations efficiently
- Keep our scheduling system up-to-date and accurate

Sales:
- Handle inbound calls and emails from the Marketing Department and convert them into sales
- Make outbound follow-up calls to potential clients in your pipeline
- Record accurate information while listening to customers and asking probing questions
- Collaborate with the sales team to ensure a seamless sales process

HR:
- Assist with recruitment tasks, including posting job ads, screening resumes, and coordinating interviews
- Maintain employee records and assist with onboarding new hires
- Support the HR team with various administrative tasks as needed

Finance:
- Assist with basic bookkeeping tasks, including data entry and invoice processing
- Help manage accounts payable and receivable
- Support the Finance team with budget tracking and financial reporting

What We’re Looking For:
- A proactive and detail-oriented individual with strong multitasking abilities
- Previous experience in any of the listed departments (Scheduling, Sales, HR, or Finance)
- Excellent English communication skills are highly encouraged
- Familiarity with relevant software and tools (e.g., CRM for Sales, scheduling software, HR systems, accounting software) is a plus
- Ability to work independently and manage time effectively
