Virtual Rockstar is seeking a dedicated and compassionate full-time Medical Virtual Assistant to join our client’s team remotely. This individual will play a key role in ensuring the smooth operation of our client’s physical therapy practice by handling administrative tasks, coordinating patient care, and supporting insurance processes. Responsibilities:

Confirm Patient Appointments: Ensure that all patient appointments are confirmed and managed in a timely manner.
Maintain Patient Records: Accurately maintain and update electronic medical records (EMR) for each patient.
Patient Privacy & Confidentiality: Ensure patient information is handled with the utmost care, following all privacy guidelines.
Referral Management: Manage referrals from other healthcare providers and coordinate care between them and our practice.
Personalized Communications: Send personalized appointment reminders, follow-up messages, and other patient communications.
Verify Insurance Coverage: Verify patient insurance coverage, obtain pre-authorizations for procedures, and update patient files with insurance information.
Explain Insurance Benefits: Provide clear explanations of insurance benefits and coverage to patients.
Liaise with Insurance Providers: Communicate with insurance companies to clarify coverage details and track pending claims.
Assist with Insurance Queries: Assist patients with insurance-related inquiries and concerns.
Manage Schedules: Support therapists by managing their schedules and coordinating patient appointments.
Generate Invoices: Create and send invoices to patients in a timely manner.
Data Entry & Report Generation: Perform data entry tasks, generate basic reports, and track patient feedback and plans of care.
Emergency Contact Collection: Obtain and maintain emergency contact details for each patient.
Plan of Care Tracking & Follow-up: Ensure patient care plans are tracked and patients are contacted for follow-ups.
Document Handling & Correspondence: Prepare and manage documents, emails, and other correspondence.

Qualifications:

Proven experience as a medical assistant, administrative assistant, or virtual assistant (experience in physical therapy or healthcare is a plus).
Proficiency in Clinicient EMR and Office 365 (preferred).
Strong communication skills, both written and verbal, with the ability to interact professionally with patients, insurance providers, and team members.
Attention to detail and ability to maintain accurate and confidential patient records.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Strong organizational skills, with the ability to manage schedules, track appointments, and follow-up tasks.
Knowledge of medical terminology and insurance processes is preferred.
Self-motivated with the ability to work independently and remotely.
A passion for helping others and supporting the healing process.
