We are looking for an organized and detail-oriented Property Management Admin Assistant to join our team. This role involves supporting the property management team with various tasks to ensure smooth operations and effective communication with residents, prospective tenants, property owners, and short-term rental guests.
Responsibilities:
Tenant & Owner Communication: Respond to inquiries from current residents, prospective tenants, and property owners via phone,
Application Assistance: Guide resident applicants through the application process, ensuring accurate and complete submissions.
Lease & Agreement Management: Send property management agreements to new property owners and lease paperwork to approved residents for digital signatures.
System Updates: Maintain and update information on the Monday board and AppFolio.
Lead Follow-Up: Handle inbound calls and leads, and coordinate showings, following up with prospective residents and applications.
Short-Term Rentals Support: Communicate with Airbnb/VRBO guests and manage coordination with cleaners.
Lease Renewals & Insurance Monitoring: Track lease renewal dates, insurance expirations, and send late rent notices.
Move-In/Move-Out Coordination: Order move-in and move-out evaluations and distribute them to the team. Coordinate resident move-outs.
Property Management Support: Handle tasks related to HOA violations, resident benefit packages, and Home Watch inspections.
Rental Evaluation Support: Assist with rental price evaluations.
Financial Tasks: Monitor and manage tasks on Flex (
Eviction Process: Assist with handling evictions as required.
REQUIREMENTS:
AppFolio Experience: Proficiency in AppFolio property management software is REQUIRED.
Property Management Experience: At least 2 YEARS of experience as a Property Manager or PM Assistant.
Strong Communication Skills: Ability to communicate clearly and professionally with prospective and current tenants, as well as with residents, owners, and guests.
Customer Service Excellence: Friendly, approachable, and responsive to inquiries and concerns.
Organized & Detail-Oriented: Strong attention to detail, with the ability to handle multiple tasks simultaneously.
Tech-Savvy: Familiarity with additional property management tools such as
Longevity in Roles: We are seeking candidates who have stayed in their previous positions for at least 2 years.
