Job Summary
The Administrative Assistant / Bookkeeper will provide direct support to the firm’s leadership while managing bookkeeping functions for multiple clients. This dual role requires strong organizational skills, attention to detail, and the ability to handle various client accounts with precision.
Responsibilities
Serve as an administrative assistant, managing scheduling, correspondence, and general office duties
Handle client bookkeeping tasks, including accounts payable/receivable, invoice management, and data entry
Reconcile client bank and credit card statements to ensure accuracy in all records
Prepare financial reports and maintain organized client financial files using accounting software (e.g., QuickBooks, Xero)
Communicate with clients regarding documentation, bookkeeping inquiries, and deadlines
Maintain confidentiality and follow client-specific processes and compliance requirements
Experience
Proven experience in an administrative assistant or bookkeeping role, ideally with experience in client bookkeeping
Proficiency in accounting software (QuickBooks, Xero, etc.) and Microsoft Office Suite
Exceptional attention to detail and organizational skills
Strong communication skills with a client-centered approach
Ability to manage multiple tasks and prioritize effectively
Experience with organizing tax documents and collating tax returns is a bonus
