Job Description:
Brightwood Clinic (Skin Care Aesthetic Clinic) is seeking a dedicated and professional Virtual Medical Receptionist who can perform several key tasks to support her growing business, which operates in the skincare aesthetics field. Here are the specific requirements and responsibilities she mentioned:
Key Responsibilities:
· Outreach on Social Media: VA should be able to conduct outreach on platforms like Instagram, inviting potential clients for complimentary consultations.
· Appointment Scheduling: VA will need to manage the scheduling of appointments for clients, ensuring that they are booked into the system efficiently.
· Communication Management: VA should handle communication with potential clients, including following up with those who have shown interest but have not yet booked an appointment.
· Tracking Responses: VA should be able to track interactions on social media, marking clients for follow-ups if they respond initially but do not continue the conversation.
· Calendar Management: VA will be responsible for managing the schedules of multiple providers, ensuring that their availability is accurately reflected in the booking system.
· Lead Nurturing: VA should assist in nurturing leads, particularly by reaching out to past clients (e.g., those who have had Botox) to encourage them to return for follow-up appointments.
· Text Response Management: VA should be able to respond to text messages from clients, particularly for appointment cancellations or rescheduling, to maximize booking opportunities.
· Administrative Support: VA should also assist with general administrative tasks, such as pulling reports, creating standard messages for outreach, and ensuring that the workflow is efficient.
· Qualifications:
- Experience in Medical Receptionist and Admin tasks, Social Media Management
- A professional, outgoing, and a person who shows initiative when speaking with clients, and colleagues.
- Proficient in Microsoft Excel, with the ability to work with quality reports.
- Proficient in English
- Excellent communication skills, detail-oriented, and highly organized.
- Comfortable seeking assistance when needed and proactive in problem-solving.
Basic Requirements:
- Ability to submit NBI clearance
- Has Whatsapp
- Must be able to communicate clearly and effectively.
- Reliable computer and internet connection (at least 10mbps via cable modem, DSL/Fiber only).
- Reliable mic and headset (earphones are fine) / (noise-canceling headset) and a webcam.
- Minimal environmental noise (preferably zero if on camera frequently).
- Availability to meet the required hours.
- Submission of a short video introduction.
- Possession of a valid ID.
- Not currently working with any other clients during the required work time.
