Job Overview:
We are seeking a highly organized, detail-oriented, and proactive Bilingual Administrative Assistant/Virtual Assistant (VA) to manage patient communications and administrative tasks. The ideal candidate will be fluent in both Spanish and English, possess excellent phone etiquette, and be comfortable with repetitive tasks. This role involves managing patient appointments, following up with inbound leads, and handling customer care with a focus on providing a positive experience for high-value clients.
Key Responsibilities:
- Patient Communication: Confirm and schedule patient appointments via phone calls, including rescheduling and follow-ups to ensure all appointments are confirmed and well-managed.
- Lead Management: Follow up on inbound leads to assess interest, provide information, and schedule consultations or services.
- Customer Care: Handle high-value client calls with professionalism and empathy, ensuring all interactions are handled with care and respect.
- Administrative Support: Generate and maintain reports, track appointments, and keep accurate records of interactions and updates in the system.
- Repetitive Tasks: Efficiently manage simple but detailed tasks with minimal supervision, following client-provided scripts and processes.
- Attention to Detail: Maintain high attention to detail in every task, ensuring accuracy in data entry, scheduling, and reporting.
Key Qualifications:
Bilingual: Fluent in both Spanish and English (spoken and written).
Experience: Prior experience in customer service, administrative tasks, or a similar phone-based role is preferred.
Excellent Communication Skills: Strong verbal and written communication skills in both languages. Must be confident and professional on the phone.
Attention to Detail: Able to handle repetitive tasks with high attention to detail, ensuring accuracy in scheduling, reporting, and follow-ups.
Self-Sufficient: Ability to work independently, manage tasks with minimal supervision, and prioritize workload effectively.
Tech-Savvy: Comfortable using standard office software and virtual tools for reporting, scheduling, and communication. Familiarity with CRM systems is a plus.
