This is a remote position.

Job Brief
We are seeking a talented and detail-oriented Project Assistant to join our team. In this role, you will play a vital part in supporting our project management efforts, providing excellent customer service, and assisting with accounts receivable and invoicing tasks. This is an early shift with a start time of 4:30 AM and will be a Part-Time role (8hrs for 3 days/week) with a potential to become full-time.

Responsibilities
Project Documentation:
Assist in creating and maintaining project documentation, including project plans, schedules, and status reports.
Ensure project files and records are well-organised and up to date.

Customer Communication:
Serve as a point of contact for customers, addressing inquiries, providing updates, and ensuring customer satisfaction.
Coordinate customer meetings and follow-up on action items.

BuildXact Software:
Utilise BuildXact software (if applicable) to manage project-related data and documentation.
Maintain accurate records and reports within the software platform.

Project Coordination:
Collaborate with project managers to coordinate project activities, resources, and deliverables.
Assist in tracking project timelines and milestones.

Customer Support:
Provide excellent customer service by addressing customer inquiries, resolving issues, and ensuring a positive customer experience.
Handle customer complaints and escalate as needed.

Accounts Receivable:
Assist with accounts receivable tasks, including tracking payments, generating invoices, and monitoring outstanding balances.
Prepare and send payment reminders to customers as necessary.

Invoicing:
Prepare accurate invoices for completed projects or services.
Ensure invoices are sent to customers promptly and comply with company policies.

Time Zone: Australian Business Hours:

Requirements
Previous experience in project support, customer service, or administrative role.
Familiarity with project management principles and software (e.g., BuildXact) is a plus.
Strong organisational and time management skills.
Excellent written and verbal communication skills.
Proficiency in using Microsoft Office Suite, including Word, Excel, and Outlook.
Detail-oriented with a high level of accuracy in all tasks.
Ability to work independently and as part of a team.
Customer-focused with a commitment to delivering exceptional service.
