Key Responsibilities
Administrative & Operational Support:
-Support day-to-day property operations, including tenant relations, maintenance coordination, and lease administration.
-Maintain accurate and up-to-date tenant and property records using Buildium and ensure all files are properly stored in Dropbox.
-Handle tenant communications via Google Voice and other platforms, ensuring timely and professional responses to inquiries and requests.
-Prepare and enforce lease agreements, including addressing tenant concerns and following up on compliance issues.
-Prepare, file, and coordinate other documentation such as 5 Day Notices,
-Eviction Notices, Tenant Applications, Move-In/Move-Out paperwork, and Rent Receipts.
Record Keeping & Reporting:
-Oversee electronic filing systems to ensure all documents, such as leases, invoices, and correspondence, are organized and easily accessible.
-Assist with bookkeeping tasks, including tracking rent payments, managing accounts payable/receivable, and generating financial reports.
-Prepare monthly, quarterly, and annual property management reports to provide updates on financial performance, occupancy, and maintenance.
Property Marketing & Leasing:
-Assist with marketing available properties, including posting listings on property management platforms and coordinating with prospective tenants.
-Conduct tenant screening and background checks as needed.
-Support lease renewal processes and ensure all agreements are properly executed.
Other Responsibilities:
-Coordinate with vendors and contractors for property repairs, inspections, and maintenance services.
-Assist in developing and implementing strategies to maximize property occupancy and profitability.
-Ensure compliance with local, state, and federal housing regulations.
Qualifications
-Proven experience in property management or a related field.
-Proficiency in Buildium, Google Voice, Dropbox, and property marketing platforms.
-Strong skills in bookkeeping, reporting, and financial record-keeping.
-Familiarity with lease agreements, tenant laws, and property management best practices.' Excellent organizational skills and attention to detail.
-Effective verbal and written communication skills.
-Ability to multitask and thrive in a dynamic, fast-paced environment.
-Pro-active and ability to work independently.
Preferred Skills
-Experience with digital marketing for properties, including social media and online platforms.
-Knowledge of real estate laws and housing compliance requirements.
-Analytical and problem-solving abilities to address property management challenges.
