Sales Administrator
Department: Sales
Reports to: Sales Manager / Chief Business Development Officer | Supervises: None

Job Description Overview

The Sales Administrator is a key team member within the Business Development Department who is responsible for supporting the sales team throughout the sales life cycle. These responsibilities include, but are not limited to, opportunity management (creating, maintaining sales opportunities, and converting into quotes), product renewals, new product orders, and all related follow up.

***Note: this is a client/people-facing role.

Knowledge - Education, certifications, courses, training, and experience

Required:
• Bachelor’s degree (or equivalent experience and skill-based knowledge).
• 3 to 5 min. years of B2B sales experience.
• 1 – 2 years’ experience working with quoting tools.
• Confident understanding of CRM and opportunity management systems.

Preferred:
• ConnectWise (CW) CPQ experience [formerly CW Sell], or (Salesforce, Quote works, etc.).

Work – General - Job Roles and Responsibilities
Key responsibilities include, but are not limited to:
• Opportunity Management: Creating, maintaining, and converting sales opportunities into quotes.
• Product Renewals: Managing the renewal process for existing products.
• New Product Orders: Handling orders for new products and ensuring timely follow-up.
• Customer Relationship Management (CRM): Maintaining accurate and up-to-date customer records in the CRM system, as relates to sales.
• Sales Reporting: Generating and analyzing sales reports to support decision-making.
• Administrative Support: Assisting with scheduling, preparing sales documents, and coordinating meetings.
• Communication: Acting as a liaison between the sales team and other departments to ensure smooth operations.
• Support:
o Sales Manager/Chief Business Development Officer and sales team.
o CEO sales activities.
• Own the complete quoting process using CW CPQ for all company sales quotes.
• Administer CW CPQ.
• Maintain vendor/partner relations.
• Maintain the agenda and take notes for the Weekly Sales Call.
• Maintain and tailor prospect pitch decks.
• Create annual budget renewal reports.
• Create, revise, and send engineering rate letters to clients.
• Create and maintain deal registrations in partner portals.
• Create, maintain, update, and file sales department documentation.
• Review and approve product invoices.
• Perform date entry tasks.
• Schedule meetings for their own work-related purposes and for sales team members via phone or email.
• Run scheduled meetings, maintain agendas, take notes, and assign action items.
• Outgoing and willing to communicate with clients, prospects and partners / vendor as needed.

Work – Detail - Job Duties and Tasks (but not limited to)

Quoting in CW CPQ
• Generating quotes for professional services, managed services, and product renewals/subscriptions.
• Build, modify, finalize, and distribute all company quotes for:
o Professional Services
o Managed Services
o Products (renewals, subscriptions)
• Coordinate with CSAs (Client System Architect) to create, edit, and deliver quotes.
• Process won quotes.
• Must be detail oriented and able to fine tune quotes and finalize by deadlines.

Admin user for CW CPQ
• Responsible for, but not limited to, the following tasks:
o Add/delete users.
o Settings
o Assist with user troubleshooting.
o Uploading tax codes
o Template formatting

Sales opportunities in CW:
Creating and maintaining Sales opportunities in ConnectWise.
• Professional Services / Managed Services:
o Create, update/maintain, and close Opps, as needed.
o Convert won opportunities in CW.
o Processing won quotes in CW CPQ (formerly CW Sell).
• Renewals
o Check CW Renewals Board daily/weekly for upcoming renewals.
o Create, update/maintain, and close Opps, as needed.
o Convert won opportunities as part of procurement process.
• New (hardware/software)
o Create, update/maintain, and close Opps, as needed.
o Tracking product/software versions with internal team for potential upgrade/upsell.
o Convert won opportunities as part of procurement process.
o Closing quotes and POs promptly, maintaining sales call agendas, and updating sales opportunities in CW.

Additional sales related areas in CW
• Manage procurement process with accounting team.
• Review and approve product invoices.
• Maintain/update inventory/configurations catalog.
• Maintain/update product catalog.
• Maintain/update agreements with internal teams.
• Maintain/update renewals board.

Develop and maintain relationships and follow-up with key channel partners, inside sales reps, and vendors.
• Maintaining vendor/partner relations and reviewing product invoices.
o Participate in regular meetings with Account Reps, Account Managers, Sales Reps, etc.
o Request for sales quotes, as needed.
Generate Sales reports including, but not limited to:
• Annual budget renewal reports.
• Managing engineering rate letters, software/license renewals, and deal registrations in partner portals.
• Creating/updating client references and handling.
Update job knowledge by studying new product descriptions and participating in educational opportunities.
• Complete sales exams / certifications as needed, per partner requirements.
• Stay up to date on sales pages on partner websites.
• Attend partner webinars – understand what’s new.

Accomplish department and organization goals.
• By accepting ownership for accomplishing new and different requests; exploring opportunities to add value to the position.

Maintain quality results.
• By following Cornerstone.IT standards and procedures; making recommendations to improve processes, policies, and procedures within department.

This is a Full-time position. Approx. 40 hours a week.
