Job Description: General Administrative Virtual Assistant with Callback, CRM (AIA), and Healthcare Experience
Position Title: General Administrative Virtual Assistant
Employment Type: Remote/Part-Time
Working Hours: US EST
Experience Required:
Proven background in callback handling.
Proficiency in CRM systems, especially AIA CRM.
Experience in healthcare administration or support.
Key Responsibilities
Administrative Support:
Manage daily administrative tasks, including schedules, meetings, and
Maintain and organize healthcare documentation, reports, and correspondence.
Ensure compliance with healthcare-related privacy and confidentiality standards (e.g., HIPAA).
Callback Management:
Handle incoming and follow-up calls with patients, providers, and healthcare organizations.
Address queries related to healthcare services or processes.
Document all interactions and ensure accurate follow-up.
CRM Management (AIA):
Update and manage patient or client information within the AIA CRM system.
Track patient or customer journeys, ensuring excellent service.
Generate CRM-based reports to aid healthcare team decisions.
Healthcare-Specific Support:
Schedule appointments and coordinate with healthcare providers.
Assist in managing patient billing or insurance claims.
Ensure adherence to healthcare protocols in all administrative activities.
Team Collaboration:
Work closely with healthcare teams, including physicians, nurses, and administrators.
Support ad hoc projects or health-related initiatives.
Qualifications
Demonstrated experience in healthcare administration or a similar role.
Familiarity with callback systems and advanced CRM tools, particularly AIA.
Excellent communication skills, both verbal and written, tailored for healthcare contexts.
Strong organizational skills with attention to detail.
Proficient in Microsoft Office Suite, Google Workspace, and other productivity tools.
Preferred Qualifications
Understanding of healthcare industry standards, regulations, and workflows.
Knowledge of patient billing and insurance processes.
Certification in healthcare administration or customer service (preferred, not required).
