Job Opportunity: Virtual Assistant for a Fast-Paced Business Environment

Key Responsibilities

Administrative Tasks

• Manage email inboxes: Organise, prioritise, draft responses, and follow up on client and stakeholder communications.
• Handle email campaigns for AccountsDynamic.
• Manage calendars: Schedule meetings, appointments, and reminders, coordinating personal and professional commitments.
• Perform data entry: Input client data into Zoho CRM and transfer data between systems such as Zoho and Xero.

Client-Facing Tasks

• Onboard clients: Send engagement letters and onboarding forms via Annature or other platforms, and follow up on submissions.
• Provide customer support: Address queries about the Road2BAS program or other services.
• Manage leads: Use tools like LeadsGorilla to qualify leads and update Zoho or ActiveCampaign with lead information.

Content Creation and Marketing

• Manage social media: Create, schedule, and monitor posts on Facebook and other platforms, responding to messages and engagement.
• Assist with email marketing campaigns, targeting specific industries.
• Streamline Zoho CRM automations and updates.

Project Management Support

• Track tasks: Maintain task lists for various projects and send reminders for updates or action items.
• Coordinate meetings: Organise stakeholder meetings, prepare agendas, and take meeting minutes.
• Prepare documents: Draft reports, presentations, and other materials for investors, legal consultations, or project use.

Specialised Support

• General bookkeeping tasks.
• Manage invoicing and payments for AccountsDynamic.
• Streamline workflows in Zoho CRM and ActiveCampaign.

Personal Assistance

• Organise itineraries for conferences or meetings.
• Assist with ad hoc tasks such as drafting emails or proofreading documents.

Creative and Design Support

• Create simple graphics or mockups for presentations.
• Format investor documents and draft contracts based on templates.

What We’re Looking For

• Experience with Zoho CRM, Xero, and ActiveCampaign (preferred but not essential).
• Strong organisational and multitasking skills.
• Excellent written and verbal communication abilities.
• Proficiency in social media management and digital marketing tools.
• A proactive attitude and the ability to work independently.
