JOB OVERVIEW

COACHING ASSISTANT
Client Support
• Assist veterans in completing questionnaires and necessary forms.
• Review mini questionnaires and ensure all information is accurately filled out.
• Communicate with veterans to clarify information and provide guidance.
Documentation and Review
• Access and review client profiles and mini questionnaires for accuracy and completeness.
• Verify information in the mini questionnaires against provided medical records.
• Identify and report discrepancies or conflicting information in medical records.
Medical Records Coordination
• Request and obtain Blue Button Records or private medical records from healthcare
providers.
• Ensure medical records cover the period from the veteran’s discharge to the current date.
• Review medical records for consistency with information provided in questionnaires.
Process Management
• Update and maintain client status in the system, including moving files to appropriate stages.
• Send deposit invoices to clients and manage the refundable deposit process.
• Coordinate with the Head Coach for deposit waivers and ensure proper documentation.
Communication
• Schedule and conduct calls with veterans to discuss and clarify information.
• Provide veterans with clear instructions for updating their medical records or questionnaires.
• Inform veterans about the importance of adhering to scheduled appointments and VA
exams.
Administrative Support
• Maintain accurate records of client interactions and updates in the system.
• Generate and send necessary emails and notifications to clients.
• Assist the Head Coach and other team members with administrative tasks as needed.

DBQ DEVELOPER
Accurately transcribing information in a timely manner.
• Strictly following, exemplifying, and putting into practice the company's rules and procedures.

• Call Clients to get documents like DDC’s, RDL’s, and Medical Documents to complete DBQ’s
• Utilize Zoho CRM and Monday to update and document when DBQ’s are ready.
• Make changes to DBQ if needed when requested by our Medical Team.
• Appeals for Veterans Forms

QUALITY INSPECTOR/ASSURANCE SPECIALIST
• Review and Evaluation: Carefully review and evaluate DBQs (Disability Benefit
Questionnaires) and doctors’ reports to ensure they are complete, accurately
processed, and analyzed to obtain the exact information required to qualify for
disability claims or other VA benefits.
• Document Compliance: Ensure all required documents are complete, submitted in a
timely manner, and adhere to the Department of Veterans Affairs standards and
regulations.
• Scheduling and Coordination: Maintain an updated record of doctors’ schedules and
veterans’ appointments. This includes scheduling veterans, calling doctors for
appointment scheduling, answering phone calls, responding to emails/texts, and
monitoring medical facilities to ensure veterans receive timely and effective medical
care. Additionally, you will need to schedule the veteran's preparation
appointment prior to their doctor's visit, which will be either on the day of the
appointment, depending on the time, or the day before. Avoid scheduling any
prep appointments on Mondays, as coaches cannot coach clients on Sundays.
• Claims Management: Assist in providing updated status of claims, ensuring that
benefits are well-coordinated for the veteran, and updating progress through the CRM
and other platforms.
• Independent Decision-Making: Exercise independent decision-making on behalf of
the company in interactions with medical providers and in managing customer
relationships. Facilitate necessary corrections before submitting to the VA.
• Doctor Recruitment and Process Organization: Recruit doctors by conducting
phone calls and organize processes on Monday.com. Update processes as needed to
ensure efficiency.
• Review of DBQ Development: Review DBQs developed by the developer to ensure
that the development was done correctly and meets the necessary standards.
• Senior Developer Role: Serve as the senior developer, with the responsibility to step
in and replace the developer if they are on vacation or if there is a need to fill in
temporarily.
• VA Rating Calculation: Calculate the veteran’s disability rating using the VA
calculator to ensure accuracy in the total percentage. Refer any changes, including
those related to nerve conditions and other adjustments, back to the M-21 VA Rater’s
Manual to reach a final rating conclusion.
• Handling Change Requests: Handle any change requests from doctors and update
the coach if any changes result in better outcomes than previously noted.
• Daily Reporting: Send a daily report to your direct supervisor, detailing any follow-ups
or questions on the tasks at hand.
• Proactive Improvement: Always strive to improve processes or find proactive ways to
enhance efficiency. Additionally, assist others when needed to ensure smooth
operations.
• Goal Achievement: Consistently achieve weekly/monthly qualitative and quantitative
goals set by management.
• Other Duties: Perform all other duties as assigned.
