Position Overview:
We are seeking an experienced, detail-oriented Virtual Assistant to ensure every lead from phone calls, online contact forms, and booking links is engaged, scheduled, and ultimately shows up for their appointment. The right candidate will have a strong background in appointment setting and be skilled in follow-up techniques to maximize attendance at our physical spa locations.

Key Responsibilities:
? Promptly respond to all lead inquiries by phone and email, ensuring rapid follow-up to secure appointments.
? Confirm appointments with our standard policies (including taking a card on file, if needed) to increase appointment adherence.
? Thoroughly understand and be able to explain our range of medical spa services, answering common questions to help leads feel confident about their booking.
? Follow structured nurture sequences for both inbound and outbound leads to ensure high conversion rates and that leads not only book but show up for appointments.
? Maintain and report key metrics, including Lead to Booking Rate, Conversion Rate, and Show Rate for in-office appointments.

Requirements:
? 2+ years of experience handling inbound and outbound calls for a US-based company, ideally within the medical spa, beauty, or health industry.
? Excellent English communication skills, both spoken and written.
? Proven experience in appointment setting with a strong track record of converting leads to in-person visits.
? Familiarity with follow-up strategies and nurturing sequences to boost appointment show rates.
? Availability for peak times, including weekends.
