Client Overview:
*Kim is an amazing coach and she is looking for a unicorn who can help her with marketing and administrative tasks.

Client Requirements:
*Must be able to work 20 hours/week, with the potential to be full-time after a few months.
*Must be able to work 9am-1pm Central Time (US)
*Must have at least 4 years of experience managing projects in a corporate environment or any similar role
*Must be proficient in Zapier, Kajabi, and Squarespace
*Must be tech-savvy
*Must be able to build and update web pages, preferably in Squarespace
*Must be an EXCELLENT writer and communicator, and is comfortable writing press releases and handling client communications via email and LinkedIn
*Must be super organized with high attention to detail
*Detail-oriented with a commitment to quality control
*Must have top-notch English writing skills

Software tools used by the client:
*Kajabi
*Squarespace
*Zoom
*Calendly
*Google Workspace - including all apps – Drive, Forms, Slides, Gmail, etc.
*LinkedIn
*Hootsuite
*Typeform

Responsibilities/Tasks:
Project & Data Management
*Manage complex projects involving cross-functional teams, including international consultants.
*Oversee marketing initiatives using tools like Zapier, Kajabi, Google Workspace, Typeform, and Squarespace.
*Generate reports and measure the effectiveness of assigned activities.

Administrative & Technical Assistance
*Support the CEO and Marketing Director in administrative tasks (e.g., data entry, email correspondence, calendar management).
*Set up new clients in onboarding processes and assist coaches in managing client administration.
*Organize and maintain documents in Google Workspace.
*Troubleshoot technical issues for both clients and team members (e.g., website, email access).
*Proactively complete tasks and update team members without needing reminders, ensuring all deadlines are met.


Email
Management
*Schedule, load, and format emails in Kajabi; conduct test sends, proofread content, and verify all links.

Team Collaboration & Project Improvement
*Participate in weekly team meetings (Monday mornings, CT); contribute ideas for enhancing client support and optimizing processes.
*Actively propose improvements to client experience and internal workflows.

Editing, Proofing & Quality Assurance
*Proofread all client-facing materials, including emails, documents, and website content, to ensure accuracy and professionalism.
*Edit and format documents in Word, and create polished .pdf files as needed.
*Ensure all deliverables meet established quality standards.

Website Support
*Build and update web pages in Squarespace, applying HTML/CSS as necessary.
*Integrate Office AutoPilot forms on WordPress pages as needed.

Customer Service & Client Care
*Draft, proofread, and send client contracts and proposals; ensure signatures are obtained promptly.
*Handle client communications professionally via email and LinkedIn, aligning with the CEO’s voice and tone.
*Maintain a deep understanding of business operations to independently respond to inquiries accurately.

Public Relations & Marketing Management
*Writing and sending press releases
*Seeking out speaking, podcasts and publishing opportunities
*Establishing relationships with members of the press
*Applying to speaking engagements and managing the application process
