Executive Assistant Job Description

Organization: BHI Construction & Real Estate Development

Position: Executive Assistant

Overview:
The Executive Assistant will provide comprehensive administrative and organizational support to the leadership of BHI Construction & Real Estate Development. This role requires a highly organized, proactive, and detail-oriented individual with excellent communication and interpersonal skills. The ideal candidate will be able to manage multiple tasks simultaneously, prioritize effectively, and maintain confidentiality.
Responsibilities:
Administrative Support:
• Manage executive calendars, including scheduling meetings, appointments, and travel arrangements.
• Prepare and edit correspondence, reports, and presentations.
• Handle incoming and outgoing calls and emails.
• Coordinate travel arrangements, including booking flights, hotels, and ground transportation.
• Maintain and organize files, both electronic and physical.
• Process expense reports and invoices.
• Order office supplies and equipment.
Project Support:
• Assist with project management tasks, including tracking deadlines, coordinating meetings, and distributing meeting materials.
• Provide research support on various topics related to affordable housing, sustainability, and community development.
• Assist with the preparation of grant proposals and reports.
• Coordinate with external stakeholders, including government agencies, non-profit organizations, and contractors.
Sustainability and Green Building:
• Research and maintain a list of green building incentives and programs.
• Assist with the development and implementation of sustainability initiatives.
• Track and report on the environmental performance of BHI projects.
Qualifications:
• Bachelor's degree or equivalent experience.
• Minimum of 3 years of experience as an Executive Assistant or in a similar administrative role.
• Strong organizational and time management skills.
• Excellent communication and interpersonal skills.
• Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook.
• Ability to work independently and as part of a team.
• Detail-oriented and highly organized.
• Experience in the non-profit or real estate industry is preferred.
• Knowledge of sustainability and green building practices is a plus.
