JOB OVERVIEW

Job Title: Bookkeeper & Administrator
Location: Remote
Salary: $400 per month
Working Hours: Monday to Friday, 7:00 am to 3:00 pm UK time
Reports To: CEO

Job Purpose:
The Bookkeeper & Administrator is responsible for leading the bookkeeping and finance administration tasks within our finance department. This role is essential to ensuring accuracy across financial records, supporting efficient business operations, and contributing to the financial health of our organisation. The ideal candidate will have a meticulous eye for detail, strong bookkeeping and accounting experience, and be comfortable with high transaction volumes.

Key Responsibilities:
• Manage the reconciliation of accounts, matching staff bookkeeping with terminal account reports to ensure accuracy.
• Prepare the bookkeeping spreadsheet for the following day per clinic location.
• Create monthly revenue reports for each clinic site, detailing card transactions and revenue trends.
• Calculate average spend per customer and per session, providing insights into financial performance.
• Prepare monthly invoices for practitioners, ensuring timely and accurate processing.
• Oversee and bookkeep company expenditure, identifying any discrepancies and ensuring records align with budgets.
• Handle refunds via Stripe, ensuring customer satisfaction and correct processing.
• Work closely with the reception team to pursue outstanding accounts payable.
• Accurately enter financial data into XERO and other bookkeeping systems as required.
• Support other bookkeeping and administrative tasks as needed.

Required Qualifications:
Experience:
• Minimum of 3 years’ experience in bookkeeping, accountancy, or a related field, ideally in a high-transaction environment.
• Proven track record of handling bookkeeping tasks independently with accuracy.

Knowledge, Skills, and Abilities:
• Ability to spot bookkeeping errors and ensure accurate financial records.
• A positive attitude, commitment to long-term growth with the company, and readiness to learn new skills.
• Strong numerical ability and a knack for processing information swiftly and accurately.
• Good command of spoken and written English.
• Basic knowledge of accounting practices and procedures.
• Experience with XERO and other accounting software.
• Consistent high-speed internet connection to support remote work effectively.

Preferred Qualifications:
• Prior experience with UK financial practices or regulations (helpful but not required).
• Previous work in healthcare or medical services.

Working Conditions
This role is fully remote, with standard working hours from 7:00 am to 3:00 pm UK time, Monday to Friday.
